Primary Purpose of Organizational Unit:

Through teaching, research and service, the Department of Communication addresses the many ways communication functions to create, sustain, and transform personal life, social relations, political institutions, economic organizations, and cultural and aesthetic conventions in society; promotes competencies required for various modes of mediated and non-mediated communication; and develops skills for analyzing, interpreting and critiquing communication problems and questions.

The program of study offered by the Department thus provides a firm foundation for enriched personal living, for professional effectiveness regardless of the specific career one may pursue, and for informed participation in human community. The Department of Communication includes 30 faculty, 50 graduate students and over 850 undergraduate majors. The Department and personnel are recognized for significant contributions to the profession and to the University, state, and nation.

Position Summary:

The Administrative Support Associate serves as the administrative assistant to the department chair and the business officer. This position collaborates with the department’s undergraduate and graduate services specialists and marketing coordinator as needed. Strong verbal and written communication skills needed as well as attention to detail. Advanced knowledge of Microsoft, Adobe, and Outlook software is needed. The position serves as the primary point of contact for the department with vendors, guests, prospective students, and other on and off-campus stakeholders and should be able to engage professionally with these audiences across a range of modalities from in-person to phone, email, snail mail and video-conference communication. They will also need to liaison with faculty, staff, and graduate students in the department.

The selected candidate for this position will perform a variety of administrative and support duties including collecting and filing documents, maintaining records, note taking at meetings, monitoring and ordering supplies, and communicating with IT and other College support teams around equipment and access needs. They will assist outside vendors and speakers with filling out required paperwork, review paperwork for accuracy and submit paperwork for processing in a timely manner. They will assist with booking travel and lodging for department guests, and they will assist in events coordination, including reserving spaces, placing catering orders, and sharing information with the public via various platforms, including updating the department’s events calendar. The department holds numerous events each year, some involving multiple guests. The person in this role also assists with coordination of the department’s annual awards and graduation ceremonies.

In collaboration with the undergraduate and graduate support specialists, the candidate aids with enrollment, submitting travel vouchers, payment and reimbursement requests for faculty and graduate students, and submitting award information for students. The candidate will also train and supervise Federal Work Study students hired to assist with general office needs.

Minimum Education and Experience Requirements:

High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Accuracy required in work is extremely high due to the financial nature of the work. Consequences of error include over- or under-payments, late payments, overages on budgets, etc.

Must be highly detail-oriented, organized, and able to work effectively/efficiently with a high degree of accuracy.

Demonstrated ability to manage multiple shifting priorities while meeting deadlines.

Excellent communication skills, both verbal and written.

Able to organize and manage a high volume of financial actions and various accounts.

Demonstrated knowledge of Microsoft Office, including Word and Excel.

Able to establish and maintain effective working relationships with others.

This position is an administrative support position with significant financial/accounting duties in addition to the administrative work. The selected candidate will be a highly skilled administrator and have considerable business/finance/accounting acumen.

Preferred Qualifications, Competencies, and Experience:

Experience in accounting work. Ability to create basic financial tracking documents in Excel is preferred.

Prior knowledge or experience with University financial and HR/payroll systems is preferred.

Campus Security Authority Responsibilities:

This position is designated as a Campus Security Authority in accordance with the Clery Act. This position will be required to report Clery crimes to the Clery Compliance Manager and complete annual training about reporting responsibilities.
