Day to day:
We are seeking a detail-oriented Clerical Administrative Assistant to support office operations with a focus on billing and administrative tasks. This role is ideal for someone with experience in accounts payable, payroll, or banking who is comfortable handling financial records and clerical duties.
Day-to-Day Responsibilities:
- Billing & Financial Processing
 - Process quantity tickets and verify accuracy before billing
 - Upload and maintain billing records in internal systems
 - Assist with accounts payable tasks, including invoice entry and payment processing
 - Prepare and reconcile expense reports
 
- Administrative Support
 - Maintain organized filing systems (digital and physical) for invoices, tickets, and records
 - Data entry for project and financial documentation
 - Update spreadsheets and internal databases with accurate information
 - Handle incoming calls and emails related to billing or administrative inquiries
 
- Documentation & Reporting
 - Generate weekly billing summaries and status reports
 - Assist in preparing documentation for audits or compliance checks
 - Ensure all records meet company standards for accuracy and confidentiality
 
- Coordination & Communication
 - Liaise with internal teams to resolve billing discrepancies
 - Support onboarding processes for new hires (document collection, system setup)
 - Schedule and confirm appointments or meetings as needed
 
- General Office Duties
 - Order office supplies and maintain inventory
 - Assist with scanning, copying, and mailing documents
 - Provide backup support for reception or other clerical tasks when required
 
Desired Skill Set:
- General administrative skills that include clerical support, filing and organizing documents, and maintaining correct naming conventions on files
 - Familiarity with billing processes, financial record-keeping, and data entry
 - Experience in AP (Accounts Payable) or similar financial tasks
 - Previous experience in banking, payroll, or similar roles involving check processing
 - Support of cost tracking and compliance documentation
 - Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
 
Compensation:
$20.00/hr to $25.00/hr.
Exact compensation may vary based on several factors, including skills, experience, and education. Benefit packages for this role will start on the 31st day of employment and include medical, dental, and vision insurance, as well as HSA, FSA, and DCFSA account options, and 401k retirement account access with employer matching. Employees in this role are also entitled to paid sick leave and/or other paid time off as provided by applicable law.
