Job Description
ABR is recruiting for an Administrative Assistant in Wisconsin Rapids. The hours are Monday – Friday, 8am-5pm (some flexibility) in-office. The starting pay is $20 - $23 per hour with a full benefits package.
Administrative Assistant Duties and Responsibilities:
• Manage the companies’ lobby area.
• Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
• Operate receptionist telephone, including answering, screening and forwarding calls.
• Perform general clerical duties.
• Accept, collect, sign for, sort, distribute and prepare deliveries.
• Collect and maintain inventory of office/break room/shop equipment and supplies.
• Research, price, and purchase office/break room/shop equipment and supplies.
• Arrange for the repair and maintenance of office equipment.
• Manage company key directory.
• Complete, and email credit applications once signed by Human Resources.
• Maintain corporate cell phone and Ipad program including troubleshooting and problem solving issues related to Apple products.
• Design and develop office forms as needed.
• Maintain and update equipment and vehicle files and schedules.
• Request, process, approve, track and file certificate of insurances
• Perform project research and proposal writing.
• Maintains company credentials.
• Assists in maintaining company website and social media and other marketing related functions.
• Download, organize and disburse blue prints and specifications.
• Schedule drug and alcohol testing.
• Maintain and support corporate safety program
• Ability to do drop offs at various locations throughout Wisconsin.
• Coordinate lodging for employees.
• Manage, organize, order and distribute clothing for field staff
• Backup to project assistant for duties as required.
• Maintain all necessary company licensing, as required.
• Assist in support with telematics program.
• All other duties as assigned to support accounting, and project managers.
• Support Human Resources in various levels include education, corporate newsletter, training events
EDUCATION
• Required: High School diploma or equivalent
• Preferred: Associates degree in business
LICENSING/REGISTRATION/CERTIFICATION
• Required: Maintain valid Wisconsin Driver’s License with proof of insurance.
EXPERIENCE
• At least two (3) years experience in general office responsibilities and procedures.
• At least two (2) years operating knowledge of and experience with multi-line telephone systems preferred.
• Advanced proficiency in Microsoft Office Outlook, Word, Excel and PowerPoint, Adobe, AIA and IOS.
• Excellent driving record.
SKILLS, KNOWLEDGE, AND ABILITIES
• Strong interpersonal relations skills.
• Strong organizational, customer service and public relations skills.
• Ability to communicate, interact and work effectively and cooperatively with all people including those from different educational backgrounds.
• Ability to handle multiple tasks at the same time with frequent interruptions while maintaining attention to detail.
• Ability to meet deadlines.
• Ability to maintain confidentiality in all aspects of the job.
• Ability to maintain a high level of discretion when dealing with sensitive and confidential business information.
• Ability to work in stressful situations.
• Ability to operate standard office equipment, including but not limited to, computers, tablets, telephone systems, calculators, copiers (including wide format).
• Professional written and verbal communication skills.
• Ability to interact with management.
• Knowledge of principles and practices of organization, planning, records management and general administration.
