Duties:The Administrative Assistant performs varied office and clerical duties for the Vice President of Student Development and the Vice President of Administrative Services. The Administrative Assistant maintains a close and highly responsive relationship regarding the day-to-day office activities. Work requires knowledge and understanding of the institution’s philosophy, programs, and procedures relating to the divisions. The Administrative Assistant is dedicated to the learning college concepts by facilitating activities that promote student success and lifelong learning.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.1. Types, files, takes dictation and/or composes from written material, verbal instruction, or independently from knowledge of circumstance and policy various correspondence, memoranda, email, reports, and similar items, some of which are confidential.2. Types, compiles or assists in compiling periodic reports or other material on the basis of instruction, some of which can be financial and/or confidential in nature.3. Records and transcribes minutes of meetings requiring a high degree of secretarial skill.4. Answers telephone; greets visitors to ascertain the nature of their business; schedules appointments; arranges meetings, conferences, and interviews; and maintains calendar of supervisor.5. Receives and reads mail, assembles related file material, and submits mail and related material to supervisor for handling.6. Maintains any number of records, reports, databases, some of which are confidential in nature and keeps related files which are within the scope of the supervisor’s responsibilities.7. Performs administrative duties as requested by supervisor.8. May assist supervisor with various divisional projects.9. May maintain financial records of moderate complexity.10. May research and process purchase orders, monitor budgets, and process payroll timesheets.11. May coordinate the activities of student aides in achieving assigned tasks.12. Performs related duties as assigned.
- Associate’s Degree in administrative assistant, office technology, secretarial science, or related area; professional administrative assistant certificate; or equivalent college hours required.
 - Minimum of 4 years of administrative assistant or related experience required.

In addition to the above requirements, the following qualities are sought:
- Excellent ability to manage confidential material and maintain confidence.
 - High level of secretarial and office administration skills.
 - Demonstrated skills in typing, filing, dictation, transcribing minutes, and composing correspondence from written material, verbal instruction, or independently based on policies. Strong interpersonal and communication abilities; skilled in customer service, answering telephones and greeting visitors
 - Demonstrated understanding of college’s core values.
 - Ability to write and prepare memoranda, email, reports, type periodic reports, transcribe minutes and other material; maintain records, reports, databases with attention to detail.
 - Highly organized; ability to schedule appointments, arrange meetings/travel and maintain calendars for senior leadership.
 - Ability to assist with occasional event planning, scheduling and space rentals, as well as other duties.
 
Full Time
Hours:General Hours: Monday – Friday 8:30 a.m.- 5:00 p.m.
(Occasional evenings and Saturdays for special events)
$23.28-$28.40 plus exceptional benefits
