  • High school diploma or equivalent
  • Demonstrated meticulous attention to detail and accuracy
  • Excellent verbal and written communication skills
  • Strong organizational and time management abilities
  • Proven customer service experience
  • Proficiency in Microsoft Office 365 Suite, including Word, Excel, Outlook, and Teams

Preferred Qualifications:

  • Bachelor’s degree and/or experience working with graduate programs
  • Prior work experience in a higher education setting
  • Familiarity with university policies, procedures, and administrative practices
  • Experience with purchasing processes using SAP or a similar entreprise resource planning (ERP) system
  • Experience with university hiring procedures and associated documentation
  • Experience with Concur or simlar travel and expense management systems, and familiarty with university travel policies and reimbursement processes

Job Description:

The Administrative Assistant II provides comprehensive administrative support to the mathematics department’s graduate program. Responsibilities include managing grant-related administrative tasks, overseeing graduate funding processes, and addressing the general needs of the program. This role also involves collaborating with faculty to develop and maintain a robust database of internship and consulting opportunities for graduate students, as well as providing general clerical support to management, staff, and graduate students.

Job Duties:

  • Provide grant-related administrative and general clerical support to faculty, staff, and graduate students
  • Collaborate with relevant parties to support the hiring and onboarding of new graduate students
  • Track and monitor graduate student funding, and proactively guide students in their search for additional funding resources
  • Develop and maintain a robust database of industry partners and contacts to facilitate internship and consulting opportunities for graduate students
  • Establish and maintain a comprehensive database of graduate alumni for networking and engagement
  • Manage all aspects of graduate student travel, including preparing applications, vouchers, compliance forms, processing requests, and reconciling expenses
  • Support the general needs of the graduate program, including collaborating with advising faculty to establish effective mentorship opportunities
  • Perform other assigned administrative tasks as needed
