Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.:

  • Minimum of two years of administrative support experience in higher education or related field.
  • Advanced proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks efficiently in a fast-paced environment.
  • Excellent written and verbal communication skills, including drafting professional correspondence.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • Experience working in a higher education environment, with familiarity with university systems and organizational structure.
  • Knowledgeable of TSUS Rules and Regulations as well as university and Academic Affairs policies and procedures.

Preferred Qualifications:

  • Bachelor’s degree from an accredited institution.
  • Proficient in Applicant Tracking Systems (ATS), SAP, and HRIS platforms.
  • Experience with faculty qualifications as required by accrediting agencies recognized by the U.S. Secretary of Education (DOE) or the Council for Higher Education Accreditation (CHEA).
  • Experienced in using Dynamic Forms for administrative and workflow processes.

Job Description:

The Administrative Assistant III provides essential administrative support to the Faculty and Academic Resources office. This role supports a range of faculty-related processes, including onboarding, reporting, and maintaining records, while assisting with special projects and contributing to clear communication and the efficient day-to-day operations of the office.

Job Duties:

  • Deliver excellent customer service by answering and screening incoming calls, greeting visitors, and responding to inquiries from staff, faculty, students, and guests with accurate information.
  • Prepare, compose, type, and proofread accurate and timely reports, correspondence, meeting minutes, spreadsheets, and other required documents.
  • Manage and update web content for the Faculty and Academic Resource site to keep information current.
  • Maintain and review faculty personnel files for completeness and compliance.
  • Monitor deadlines for assignments and projects to ensure timely completion.
  • Support the Director of Faculty and Academic Resources with special projects and initiatives to ensure successful completion.
  • Prepare the quarterly Board of Regents faculty report with attention to detail.
  • Assist with the tenure and promotion process by tracking timelines and notifying faculty.
  • Support the Presidential Excellence Award process by tracking progress and communicating with faculty.
  • Perform other duties as assigned to support the office and organizational objectives.
