About the Role: Location: Saline, MI (Onsite | Long-Term Contract) We are seeking a highly motivated and customer service–focused Departmental Administrative Assistant to join our Systems & Electronics Planning Division. In this role, you will provide vital administrative support to the Division Vice President, Executive Team, and Departments, ensuring smooth daily operations and contributing to our mission of delivering world-class electronic systems to our customers. Key Responsibilities Provide comprehensive administrative support to the Division Vice President, including calendar management, travel coordination, document preparation, meeting scheduling, and visitor support. Support the Executive Team and Departments with meeting coordination, event planning, travel logistics, safety & 4S initiatives, and onboarding/offboarding processes. Manage multiple tasks and requests simultaneously with strong organization and prioritization skills. Maintain and organize electronic and physical records, ensuring confidentiality and compliance. Utilize Microsoft 365 tools (Word, Excel, PowerPoint, SharePoint, Teams, OneNote) for document creation, collaboration, and information management. Assist with budget planning, expense tracking, invoice processing, and financial reporting in systems such as Ariba/SAP, Chrome River, and Time & Projects. Develop reports and visualizations to present data clearly and effectively. Conduct research and compile information for special projects and executive reporting. Identify opportunities for process improvement and implement standardized solutions. Manage division resources, office supplies, seating charts, and organizational structures. Maintain division and department SharePoint sites and ensure appropriate access control. Provide Japanese–English translation for meetings, documents, and communications; coordinate travel and events within Japan. Perform other administrative or special project duties as assigned. Qualifications Required: Japanese language proficiency (spoken and written). 5+ years of experience providing administrative support at the department (GM) level or above. High school diploma or GED (minimum). Exceptional communication and interpersonal skills with the ability to work effectively across all organizational levels. Proven customer service orientation and success in collaborative team environments. Strong proficiency with Microsoft 365 tools (Word, Excel, PowerPoint, SharePoint, Teams, OneNote). Candidates must successfully pass an Excel proficiency test prior to selection. Experience managing expenses, invoices, and budgets in systems such as Ariba/SAP, Chrome River, or Time & Projects. Strong attention to detail, confidentiality, and organizational skills in a dynamic environment. Ability to multitask, prioritize, and manage deadlines effectively. Willingness to work on-site regularly, with up to 10% overtime and limited travel. Preferred: Associate’s degree or higher. Familiarity with company policies and processes related to travel, expense, budgeting, and compliance. Experience with Power BI or similar data visualization tools.
