We are looking for a detail-oriented Administrative Assistant to join our team in Mclean, Virginia. In this Contract-to-permanent position, you will play a crucial role in ensuring the smooth operation of administrative tasks, supporting executives, and maintaining office organization. This role is ideal for someone with strong organizational skills and a proven ability to manage calendars, schedules, and communications effectively.
Responsibilities:
• Manage and maintain executive calendars, ensuring meetings and appointments are scheduled efficiently.
• Prepare materials and documents for meetings, ensuring all required items are organized and readily available.
• Coordinate shipments and deliveries for employees, ensuring accurate tracking and timely distribution.
• Welcome and check individuals in and out of the building while upholding security and professionalism.
• Provide administrative support to C-suite executives, including handling correspondence and scheduling.
• Utilize Microsoft Office Suite and Google Suite for daily administrative tasks and document preparation.
• Answer and direct incoming calls professionally, including managing multi-line phone systems.
• Organize and manage daily mail and office documentation to ensure proper handling and distribution.
• Assist with general office duties, including data entry and receptionist responsibilities.
• Facilitate scheduling and communication across teams to ensure operational efficiency.• Minimum of 3 years of experience in administrative or office roles.
• Proficiency in Microsoft Office Suite and Google Suite applications.
• Demonstrated ability to manage calendars, schedule meetings, and coordinate events.
• Strong organizational skills with attention to detail and accuracy.
• Excellent communication skills, both written and verbal.
• Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
• Experience supporting executive-level staff with a focus on detail and efficiency.
• Familiarity with managing shipments and building check-in processes.
