Job Description
We are looking for a skilled Administrative Assistant to join our team in Modesto, California. This role is ideal for an organized and detail-oriented individual with experience in certified payroll and administrative tasks. As a part of our team, you will handle a variety of responsibilities that ensure smooth operations and compliance. This is a long-term contract position offering stability and growth in the construction industry.

Responsibilities:
• Set up certified payroll processes for new projects, ensuring accuracy and compliance.
• Prepare and submit required documentation, such as DAS140s and Fringe Benefit Statements, while coordinating with unions.
• Manage subcontractor union letters, maintaining records and verifying compliance with union requirements.
• Review and maintain Certified Payroll Records for subcontractors, ensuring all submissions meet agency standards.
• Assist with the timely and accurate submission of payroll records to relevant agencies.
• Conduct weekly audits to monitor expiring insurance, licenses, and certificates, requesting updated documents when necessary.
• Organize and enter owner and subcontractor information for new projects.
• Handle incoming and outgoing mail and support office operations as needed.
• Coordinate special events, including preparing promotional materials, managing orders, and assisting with event setup.
• Oversee monthly office supply orders for multiple locations, ensuring timely procurement and delivery.

• At least 2 years of experience in administrative roles, preferably in the construction industry.

• Proficiency in certified payroll processes and familiarity with compliance requirements.

• Strong organizational and multitasking skills to manage various projects and deadlines.

• Excellent communication abilities for coordinating with unions, subcontractors, and internal teams.

• Experience with data entry and maintaining accurate records.

• Ability to audit and monitor documentation, ensuring compliance and timely updates.

• Proficiency in handling office equipment and managing mail and supply orders.

• Knowledge of Certified Payroll principles is a plus.
