Summary of Job Duties and Responsibilities:

Provides high-level administrative and operational support to the football program. This position serves as the primary point of contact for internal and external inquiries, manages day-to-day office operations, and assists with scheduling, communications, and event coordination.

Responsibilities & Duties

  • Directly partners with the athletic department’s Executive Team to ensure effective communication and collaboration on all football administrative issue
  • Prioritizes and arranges meetings, conferences, and appointments with key departmental units and leadership, while ensuring Head Coach is available as needed.
  • Assists with operational budget planning and fulfillment
  • Assist the head coach in the completion and submission of necessary NCAA Compliance documents
  • Assist with the coordination of recruiting activities, including itineraries, official/unofficial visits, and recruiting mailing in compliance with NCAA rules
  • Process travel paperwork for recruiting, assist with purchasing card statements, and reimbursements for football staff
  • Assist the Athletics Business Office with any needs, including processing invoices, requisitions, and budget tracking as assigned
  • Build, monitor, and communicate calendars of all team activities
  • Could have duties for both home and away contests
  • Support the planning and execution of football-related events, such as banquets, alumni functions, and community outreach
  • Serve as the first point of contact for the football office, greeting visitors, answering phones, and responding to inquiries
  • Supervise any federal or university student workers
  • Prepare, proofread, and distribute correspondence, reports and meeting materials
  • Maintain departmental records and files
  • Maintain office supplies and overall organization of the football administrative space
  • Other duties as assigned

Minimum Education Requirements:

  • Two years of college.

Minimum Experience and Skill Requirements:

  • Three years of Administrative experience required. Additional college education and related work experience may be exchanged year-for-year to meet qualifications.
  • Must possess excellent typing, office procedure, organization, interpersonal, and communication skills.
  • Must be able to work with a variety of people.
  • The ability to multi-task is critical.
  • Keyboarding, filing, MS Office Suite programs, office procedures; bookkeeping may be required.
  • Excellent organizational skills, attention to detail, and the ability to work in a fast-paced, team-oriented environment

Preferred Education and/or Experience Qualifications:

  • Bachelor’s Degree preferred.
