Educational and Experience Requirement:Associates degree in related field. Four years relevant administrative assistant experience or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position:Performs complex administrative assistant duties for the Department of Mathematics and Statistics and assist the Department Chair.
Primary Responsibilities:Performs complex and confidential duties for the Department of Mathematics and Statistics. Collects, maintains, and submits materials for compliance. Collects, reconciles, and maintains office data for the department. Processes and reconciles travel for the department, guests, and students including filling the travel pre-approvals and reconciling travel expense reports. Processes orders, reconciles purchases and payment requests within BearKat Buy. Reconciles PCard statements. Maintains and reconciles budgets/funding sources that fall under the department, including grants, and runs reports for transactions. Collects and processes hiring paperwork for faculty and teaching assistants. Processes Electronic Personnel Action Forms (EPAFs) and approves leave reports and timesheets. Coordinates, implements, and documents departmental processes. Supervises student employees within the office. Position involves multitasking and prioritizing projects. Requires the ability to analyze data, generate spreadsheets, and reports as needed. Requires General knowledge of standard office functions. Responsible for annual college inventory. Requires interaction with other staff, faculty, academic departments, grant officials and other SHSU representatives. Performs other duties as assigned.
Other Specifications:Requires good knowledge of procedures and practices and solves routine problems of a repetitive nature. Must be able to apply policies and procedures. Must be able to use standard office software.
