Job Summary

The University System of Georgia (USG) is accepting applications for an Administrative Coordinator to provide comprehensive administrative support to both the Office of Human Resources and the Office of Internal Audit, Ethics and Compliance. This role is entrusted with highly sensitive and confidential matters and serves as a key liaison across a wide range of internal and external stakeholders, including members of the Board of Regents, System Office leadership, institutional administrators, and staff. The position requires a high level of professionalism, discretion, and organizational agility. Occasional in-state travel and extended hours may be required.

The ideal candidate will demonstrate experience supporting complex organizations and proactively anticipating needs. They will be a collaborative team player, strategic thinker, and detail-oriented professional who thrives in a fast-paced, deadline-driven environment. The ability to maintain confidentiality and exercise sound judgment, tact, and diplomacy is essential.

Responsibilities
  • Provide proactive calendar management and scheduling, making travel arrangements, preparing expense reports for signature, compiling materials and other documentation required for attendance at various meetings and events (including Board meetings), etc.
  • Prepare and process requisitions, contract routing, payment requests, and expense reports.
  • Assist with budget management.
  • Manage day-to-day departmental operations including ordering supplies, overseeing equipment and inventory maintenance, distributing departmental mail, greeting and assisting departmental visitors, answering telephone calls, and maintaining various departmental listservs etc.
  • Draft and compile correspondence, reports, agendas, and other documentation for meetings and events, including Board meetings.
  • Attend designated meetings and transcribe minutes; combine and finalize report documents as needed.
  • Maintain departmental in/out-of-office calendars and manage various distribution lists.
  • Coordinate logistics for meetings and events, including space reservations, catering, and teleconference services.
  • Create and manage documentation associated with various meetings and events including agendas, Continuing Professional Education (CPE) documentation, etc.
  • Respond to emails, screen and route calls, and visitors promptly and appropriately.
  • Maintain departmental websites and listservs.
  • Support professional memberships (e.g., ACUA, IIA, CUPA) and related documentation.
  • Develop and maintain organized filing systems for rapid information retrieval.
  • Assist with special projects and other assignments as needed.
Required Qualifications
  • Associate's degree required.
  • Minimum of three years of experience performing clerical or administrative work in an office environment required.
  • An equivalent combination of education and experience is acceptable.
Preferred Qualifications
  • A Bachelor's degree from an accredited college or university in a related major and at least four years of administrative experience.
  • Experience supporting multiple team members and/or departments.
Knowledge, Skills, & Abilities
  • Exceptional organizational, communication and interpersonal skills.
  • High degree of proficiency with effectively utilizing and leveraging technology including use of teleconference software and advanced proficiency with Microsoft Office Suite including Word, PowerPoint and Excel required. Working knowledge of Access and Visio are desirable.
  • Ability to work independently with minimal supervision.
  • Ability to manage time and prioritize multiple tasks and requests effectively.
  • Adept in exercising good judgment, maintaining professionalism, manage competing demands in a fast-paced and dynamic environment.
  • Ability to work effectively with a wide range of constituencies in a diverse community.
  • Ability to interpret, analyze and synthesize information needs and solve problems or make recommendations as appropriate.
  • Ability to gather data, compile information, and prepare reports.
  • Ability to create, compose, and edit written materials.
