Primary Purpose of the Organizational Unit:

Consumer, Apparel, and Retail Studies is one of six academic departments in the Bryan School of Business and Economics. The department provides academic and administrative support to 200 students, 8 faculty, prospective students and visitors. The undergraduate and graduate programs are designed to educate and prepare students for careers in the global apparel and retailing industries.

Position Summary:

Located in the Department of Consumer, Apparel, and Retail Studies, this position will primarily provide clerical/secretarial support for the undergraduate and graduate programs, website, digital marketing and communications maintenance, student records maintenance, and student recruitment. Duties performed are varied and include:

  • Coordinating undergraduate student advising.
  • Graduate program admissions and enrollment.
  • Maintaining student records and electronic databases.
  • Maintaining departmental website and social media.
  • Scheduling and hosting prospective student visits and communicating program information.
  • Assisting faculty/staff with routine duties, events, and special projects.
  • Assist Office Manager with departmental duties as needed.

Minimum Qualifications:

HIGH SCHOOL DIPLOMA OR EQUIVALENCY; OR DEMONSTRATED POSSESSION OF THE COMPETENCIES NECESSARY TO PERFORM THE WORK.

Serving as Primary Graduate Program Resource

Essential Tasks:

  • Serves as application coordinator for graduate admissions.
  • Processing graduate application files.
  • Maintaining tracking system for all applications from receipt to decision completion.
  • Responding to application related questions.
  • Entering graduate data into electronic database for data storage.
  • Initiating personnel actions for hiring and terminating graduate assistantships.
  • Recording and distributing minutes.
  • Referring students to other resources.
  • Accessing student records in order to communicate information to other offices.
  • Maintaining confidentiality of graduate records and application status.

Providing Customer Service

Essential Tasks:

  • Receiving visitors and callers at a reception desk with moderate volume and activity.
  • Communicating program information to prospective students in a thorough, enthusiastic manner.
  • Assigning student employees tasks.
  • Referring students to appropriate campus resources.
  • Distributing and receiving forms and flyers.
  • Interacting positively and professionally with customers.
  • Assisting faculty/staff with routine duties, events, and special projects.
  • Resolving customer problems by reliance on program knowledge and/or consulting with office manager.
  • Routinely calling Help Desk to resolve technical problems.
  • Providing authorized employee access to facilities; Receiving and distributing packages and mail correspondence.

Providing Support for Undergraduate Programs Advising

Essential Tasks:

  • Serves as a resource for departmental undergraduate advising.
  • Establishing and maintaining organizational processes and procedures.
  • Maintaining student advising records.
  • Referring students to other resources.
  • Maintaining confidentiality of student records.
  • Accessing student records in order to communicate information to department head, advisors and faculty.

Essential Tasks:

  • Entering information into a department database using Excel.
  • Retrieving student information from university databases.
  • Maintaining student filing systems.
  • Disposing of expired records.
  • Maintaining student electronic list serves, graduate listings, and alumni contact information.
  • Accessing student data in Banner for verification.
  • Generating and compiling reports.

Creating and Maintaining Program Related Digital Marketing and Communications

Essential Tasks:

  • Creating webpages.
  • Providing access links for web users.
  • Importing attachment files for user accessibility; Implementing ADA compliance standards.
  • Updating and maintaining adequate and accurate department website content.
  • Updating department Twitter (X), Instagram, Facebook and LinkedIn accounts.
  • Employing social media appropriately to share details about department activities, events and accomplishments.
  • Checking department e-mail and responding to departmental inquiries.
  • Storing electronic media.
  • Engaging in internet research.

Using Technology to Draft, Create, and Modify Documents

Essential Tasks:

  • Preparing documents for publication using desktop publishing.
  • Word processing correspondence.
  • Scanning documents.
  • Compiling information for reports or mailings.
  • Copying and collating documents.
  • Independently creating announcements or flyers approved for general distribution.
  • Handling technical problems such as copier jams, fax transmissions, replacing printer/toner cartridges, etc.
  • Creating and disseminating e-mail correspondence for a variety of purposes (such as student announcements, application deadlines, etc.)
