Department Responsibilities
Event Management
Provide leadership and oversight of College of Business (COB) events team. Strategically manages campus-based COB events assigned by the Dean and Director of Strategic Engagement, including but not limited to: galas, receptions, seminars, meetings, conferences, lectures, symposia, outreach programs, fundraising events. Coordinate closely with business development and executive education, department chairs, school, and center directors to ensure alignment with college goals and objectives.
- Determine all event arrangements including budget, reservations, catering, photography, parking, transportation, permits, equipment, entertainment, event signage, promotional items, guest lists, seating charts, name tags, staffing and special requests.
- Work with the college’s UBA team on contractual agreements, cost tracking, and paying invoices in a timely manner.
- Proactively collaborate with the team regarding event logistics, expectations, and details.
- Identify, procure, and manage inventory of event-related assets such as furniture, stage risers, pipe and drape, and other materials required to outfit event spaces.
- Supervise full-time staff responsible for coordinating events for the COB.
- Recruit, train, and manage a team of student assistants to support event operations. Manage work schedules for student staff.
Facility Operations
Manage all reservations for COB facilities and spaces, ensuring efficient use and minimizing scheduling conflicts. Coordinate or delegate space management for college partners including but not limited to: Business Career Services, Student Engagement, Academic Advising, the Sales Institute, centers, and institutes. Ensure facilities and spaces are utilized effectively in alignment with the college’s mission and that faculty, staff, students, and visitors receive streamlined, high-quality service.
- Collaborate with ITS to identify, implement, and maintain software systems for space reservations.
- Serve as a resource for event logistics and building operations for the college.
- Maintain and implement fee schedule for space use, issue contracts, and ensure all required documentation is completed (i.e., facilities use agreements).
- Communicate effectively with clients by providing comprehensive event guidelines, usage policies, and procedural instructions.
- Receive and manage parking reservation requests for the college.
- Liaise with FSU Facilities to ensure proper cleaning, setup, and maintenance of event spaces.
- Recruit, train, and manage a team of student assistants to support facility operations, including staffing at all reception desks throughout the college. Manages work schedules for student staff.
Relationship Management
Establish and maintain effective relationships with vendors and other campus units or sub-contractors. Collaborate with college personnel on events and facility operations as appropriate. Establish and manage contractual agreements with clients and vendors.
- Openly communicate and collaborate with COB faculty, staff, and students to ensure streamlined and effective events and facility operations.
- Serve as liaison and maintain effective relationships with campus officials and vendors necessary for implementing major events and maintaining efficient and effective facility operations.
- Manage post-event activities, solicit feedback from participants, provide feedback and appreciation to vendors.
- Work with the COB marketing team to provide pre/post event information for press releases and media communications.
Bachelor's degree and four years of experience related to an administrative service; or a high school diploma/equivalent and eight years of related experience. (Note: a combination of post high school education and experience equal to eight years.)
