Position Details

The University of Tampa (UTampa) seeks applications for the position of Assistant Director of Sponsored Programs within Academic Affairs. Along with the Director pf Sponsored Programs, the Assistant Director will coordinate both pre- and post-award activity on behalf of the university. The successful candidate will be expected to work with faculty and other university offices to stimulate grant proposals, including assisting individuals and teams in proposal preparation and submission. The Assistant Director will assist with post-award management, including regulatory compliance, grant fiscal management, invoicing and cash draws in collaboration with the Director and the office of Financial Management.

Responsibilities:

1. Works to stimulate grant activity among faculty including fostering knowledge of opportunities and assistance in preparing proposals.

2. Consults with faculty on the design and submission of grant and contract proposals for external sponsorship from state, federal, local and other government agencies to enhance funding for research and scholarship.

3. Provides oversight of the pre-award grants management process ensuring all proposals comply with federal, state, and University policies and regulations. Reviews and approves solicitations and proposal requests to ensure institutional eligibility. Provides interpretation of funding rules, regulations, and procedures relative to proposal submissions. Acts as alternate Authorized Organization Representative under the direction of the Director of Sponsored Programs.

4. Assists the Director with the following:
  • Overseeing a portfolio of post-award grants and their management process for faculty
  • Works with Financial Management on management of grant accounts and audits
  • Monitors grants to ensure expenses are paid according to government regulations within budget limits and timelines
  • Maintains a comprehensive grants calendar to identify and track the next steps, funding deadlines, and reporting requirements for these grants.

5. Assists the Faculty Development Committee, Provost, and Director with internal grants to faculty.

6. Represents the University in relation to federal, state, and other government agencies, as well as Academic Affairs on committees within the University.

7. Collaborates with other units in the design of workshops and strategies to promote faculty grant seeking.

8. Maintains a strong personal professional development program through membership in the National Council of University Research Administrators (NCURA) and other relevant professional societies.

Qualifications

The successful candidate will have:

1. Bachelor's degree, master's strongly preferred. CPRA, CFRA, or CRA preferred.

2. Three years of grant-related experience in sponsored programs/research administration in a university or related not-for-profit setting.

3. Knowledge of the following:
  • Academic programs, faculty needs, and the nature of scholarly research
  • Grant proposal writing
  • State and federal compliance regulations including Uniform Guidance for federal awards
  • Policies and regulations regarding the use of human subjects and animals for research
  • Principles and practices of budget development and administration; computer applications related to the work, (Microsoft Office, etc.); correct business writing to include accurate spelling, grammar, and punctuation.


4. The following skills are critical to the position:
  • Ability to identify and respond to trends influencing government and other grant administration
  • Excellent verbal, written, and interpersonal skills
  • Ability to articulate the case for support to secure funding; ability to initiate, follow-through, analyze, monitor, and evaluate sponsored programs activity.
  • Planning, organizing, supervising, reviewing and evaluating the work of others; proven record of working collaboratively with other teams; positively motivating individuals to meet goals and objectives
  • Ability to oversee the expenditure of discretionary funding; preparing effective written informational and educational materials.

Work Schedule

Monday-Friday, 8:30 a.m. to 5:00 p.m.

Summer: Monday-Thursday, 8:00 a.m. to 5:30 p.m.

Evenings, weekends and holidays as required.
