Assistant Front Desk Manager
Location: Portland, OR
Job Type: Full-Time
Schedule: Monday–Friday | Travel required between clinics in the Portland and surrounding areas.

Position Summary
A multi-site healthcare organization is seeking a skilled and proactive Front Office Manager to oversee front desk and call center operations across multiple clinic locations. This leadership role ensures smooth daily workflows, staff performance, and patient satisfaction.
Key Responsibilities
- Supervise front desk and call center staff across all locations.
- Implement performance improvement plans and corrective actions.
- Create and manage staff schedules.
- Provide ongoing training and coaching for new and existing employees.
- Monitor phone systems and collaborate with IT to ensure functionality.
- Oversee daily operations and monitor call queues for efficiency.
- Build relationships with internal departments and external vendors.
- Coordinate with building maintenance and manage light facilities tasks.
- Handle patient complaints and resolve disputes professionally.
- Maintain confidentiality and uphold HIPAA standards.
- Develop and enforce front office policies and procedures.
- Manage credentialing and office supply inventory.
- Provide coverage for front office functions as needed.
- Travel between clinic locations is required.
Qualifications
- High school diploma or equivalent required.
- Minimum 2 years of management experience in a medical setting highly preferred.
- Strong leadership, organizational, and communication skills.
- Ability to work under pressure and manage multiple priorities.
- Familiarity with credentialing processes and office operations.
- Comfortable with physical requirements including lifting up to 50 lbs and extended periods of sitting/walking.
Work Environment & Physical Requirements
- Ability to work long or irregular hours when needed.
- Work under high-pressure conditions.
- Sit for 4–6 hours and walk for 2 hours per day.
- Lift and carry up to 50 lbs.
- Perform reaching, bending, stooping, and handling tasks.
