Position Summary:The University of North Carolina at Greensboro (UNCG) seeks an experienced and highly skilled Executive Assistant to support the Vice Chancellor for University Advancement. This position plays a critical role in advancing the mission and vision of the Division, providing comprehensive executive-level support while ensuring the efficient management and coordination of the Vice Chancellor’s daily operations. The ideal candidate will possess exceptional organizational, communication, and interpersonal skills and will work closely with internal and external stakeholders, including donors, alumni, and University leadership, to foster long-term relationships and drive the success of University Advancement’s strategic initiatives.
Minimum Qualifications:HIGH SCHOOL DIPLOMA OR EQUIVALENCY AND THREE YEARS OF PROGRESSIVELY RESPONSIBLE ADMINISTRATIVE/OFFICE MANAGEMENT EXPERIENCE; OR GRADUATION OR ASSOCIATE’S DEGREE IN SECRETARIAL SCIENCE, BUSINESS ADMINISTRATION, OR A RELATED DISCIPLINE AND ONE YEAR OF PROGRESSIVELY RESPONSIBLE ADMINISTRATIVE/OFFICE MANAGEMENT EXPERIENCE; OR BACHELOR’S DEGREE, PREFERABLY IN BUSINESS ADMINISTRATION OR A RELATED DISCIPLINE; OR EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE. ALL DEGREES MUST BE RECEIVED FROM APPROPRIATELY ACCREDITED INSTITUTIONS.
Preferred Qualifications:- Education: Bachelor’s degree in Business Administration, Marketing, Communications, or a related discipline.
- Experience: Minimum of 5 years of progressively responsible administrative experience, including experience supporting senior executives (e.g., CEO, CFO, Vice President/Chancellor).
- Skills & Abilities:
- Strong interpersonal and communication skills, both verbal and written, with the ability to engage and build relationships with individuals from diverse backgrounds.
- Experience working with executives with complex schedules.
- Demonstrated experience in providing exceptional customer service and problem-solving capabilities. Working with Board members and donors is a plus.
- High level of computer literacy, including proficiency in Microsoft Office Suite and familiarity with database systems such as Banner.
- Proven ability to manage multiple tasks and prioritize effectively in an extremely fast-paced, deadline-driven environment.
- Strong attention to detail and organizational skills, with the ability to manage competing priorities and meet tight deadlines.
- Exceptional discretion and the ability to maintain confidentiality in all aspects of the role.

Key Responsibility:Manage the Office of the Vice Chancellor
Essential Tasks:- Calendar & Scheduling Management: Independently manage a complex calendar, prioritizing competing demands for meetings, events, donor cultivation, and stewardship efforts.
- Liaison and Relationship Building: Act as a primary point of contact for the Vice Chancellor’s internal and external constituents, demonstrating knowledge of the Vice Chancellor’s preferences, protocols, and needs.
- Travel & Logistics Coordination: Handle all travel arrangements for the Vice Chancellor, including pre-approval, reimbursements, and tracking all expenses.
- Expense Management: Oversee and manage all Vice Chancellor-related expenses, including preparing and processing travel and entertainment reimbursements, ensuring accurate tracking of financial records.
- Sensitive Information Handling: Maintain the highest level of discretion in managing confidential and sensitive information, supporting the Vice Chancellor in all matters with trust and professionalism.
- Cross-Division Collaboration: Collaborate with other departments and leadership units across the University, especially the Chancellor’s Office, to support institutional goals and maintain effective working relationships.
- Office Operations Management: Perform general office duties, including answering phones, ordering supplies, sorting mail, and maintaining filing systems to ensure smooth day-to-day operations of the Vice Chancellor’s office.
Written and Interpersonal Communications
Essential Tasks:- Professional Representation: Act as a representative of the Vice Chancellor in meetings, events, and communications with internal and external stakeholders, ensuring alignment with the Vice Chancellor’s goals and style.
- Communication with Constituents: Demonstrate the ability to communicate effectively and professionally with a diverse group of stakeholders, including alumni, donors, faculty, and University leadership.
- Donor & Stakeholder Engagement: Support donor stewardship through communication and scheduling, ensuring that engagement efforts are professional and aligned with University Advancement’s mission and goals.
- Prepare and organize materials for meetings, ensure timely and clear communication of the Vice Chancellor’s messages, and assist with drafting correspondence.
- Create and design PowerPoint presentations for the Vice Chancellor, ensuring high-quality visual communication and effective messaging for internal and external audiences.
Meeting and Strategic Coordination
Essential Tasks:- Prepare meeting materials: Draft, edit, and distribute agendas; compile background materials; and create weekly meeting folders and meeting binders for the Vice Chancellor.
- Ensure readiness: Confirm the Vice Chancellor has all necessary information and materials in advance, tailored to the meeting’s purpose and participants.
