Job Description
Position Title: AUC-GRANTED Research Concierge Position Summary: The incumbent in this position will deliver high-quality customer service and administrative support to Principal Investigators (PIs) on funded grants, assisting them with the business processes required to manage their awards effectively. Essential Duties and Responsibilities : Interfaces with other departmental units/offices to provide information throughout the Spelman ecosystem regarding day-to-day processes that will help facilitate navigating through Spelman’s research infrastructure and works closely with the Atlanta University Center (AUC) institutions of Clark Atlanta University, Morehouse School of Medicine, and Morehouse College, creating a synergy of best work practices amongst the colleges. Assists PIs in identifying and navigating the challenges in managing their grant. The concierge will assist PIs on funded projects tasks including but not limited to the following: award initiation procurement student compensation onboarding new student research assistants travel arrangements in Travel Inc. aiding the PI with submitting requests and reports in eTrieve assisting in the use of Cayuse modules and more processing documentation utilized for independent contractors and consultants. Connects and directs faculty to appropriate internal and AUC personnel/offices to answer general questions and address administrative needs and issues. Supports the maintenance and updating of Spelman online repositories of resources and training (e.g. Cayuse Electronic Research Administration (eRA) platform, and Research strong time management skills are critical. The duties of this position require excellent interpersonal skills. Professional demeanor with the ability to interface with internal and external customers with diplomacy and tact is essential. The individual may deal with materials that are sensitive in nature and thus will need to maintain confidentiality. Excellent oral communication skills are required when presenting information and responding to questions from internal and external customers in one-on-one or group situations. The individual needs to be able to effectively deliver presentations to faculty and staff. The individual must have good written communication skills and be able to write business correspondence, various reports, and compose memos, letters, and e-mails. Experience creating organizational policies and procedures a plus. They must also be able to read, analyze, and interpret documents such as compliance rules, safety rules, and procedural manuals. To perform this job successfully, an individual must have the ability to perform advanced level computer skills using the Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint), and database management skills. In addition to producing formal business correspondence, memos and e-mails, duties may involve assignments that require creating mail merges, flyers, brochures, PowerPoint presentations, spreadsheets using formulas and pivot tables. Experience using Outlook and the Banner Financial Module is preferred. Must be proficient in one or more applications such as Smartsheet, Qualtrics, and Google Forms which are an essential component of the job. Preferred Qualifications: The research concierge will be encouraged to pursue certification in research administration no later than one year after assuming the position. Previous experience with grant administration is preferred but not required. The ability to work in a fast-paced environment is key. Research skills, database usage experience, and resource creation (videos, checklists, SOPs, directories, forms) are strongly preferred. Certifications, Licenses, Restrictions : None Physical Demands: While performing the duties of this job, the employee is regularly required to talk, walk, hear, sit, and operate computers and other office equipment. The employee is frequently required to reach with hands and arms , and stand. The employee is occasionally required to stoop, kneel, climb, and lift and/or move up to 15 pounds. Specific vision abilities required by this job include the ability to adjust focus.
