The Bilingual Medical Scheduler promptly and courteously answers incoming high-volume calls and simultaneously schedules accurate appointments for new and existing patients seeking treatment for orthopaedic spine and neck injuries, diseases, and disorders. This role works under limited supervision remotely (after training) within thirty (30) miles of Tampa, Florida.
ESSENTIAL RESPONSIBILITIES:
- Answers, orients, and greets telephone patients in a prompt, professional, friendly, and enthusiastic manner.
- Utilizes efficient data entry skills to schedule patients into Allscripts system, allowing ample time for relevant imaging, authorizations, follow ups, etc.
- Cheerfully obtains required patient demographics, insurance, and eligibility information and inputs data accurately and completely while simultaneously providing an excellent telephone experience for each patient.
- Translates telephonic conversations in Spanish and English accurately, and ensures clear communications, patient confidentiality, and diligently protects patient health information per HIPAA.
- Meets or exceeds productivity requirements as directed by the Medical Scheduling Manager.
- Forwards general inquiries to appropriate team members.
- Maintains professional working relationships with all contacts, both internal and external.
- Provides timely responses with appropriate sense of urgency to all inquiries within 24 hours per company policy (voicemails, emails, online requests, etc.)
- Manages limited paper documents and assists with effective electronic indexing as required.
- Exhibits high quality initiative and a patient-focused attitude to provide a world-class, positive experience for every caller, every time.
- Performs other duties as directed or assigned by the Medical Scheduling Manager.
QUALIFICATIONS:
- High School Diploma required
- Minimum 2-years experience in a high-volume medical scheduling role
- Extremely organized, advanced clerical skills, exceptional multitasker, and accurate data entry at high volumes
- Proficient with Microsoft Outlook, Allscripts PM, and EHR/EMR
- Expert telephone etiquette and familiarity with multi-line phone systems
- Mid-level medical terminology (orthopaedic spine and neck) and working knowledge of workers compensation, Personal Injury Protection (PIP) Auto Claims, and attorney/patient relationships
- Active listener with a calm, professional phone voice
- Utilizes superior business writing skills (concise, factual, accurate spelling and grammar) and exudes consistently collaborative and empathetic verbal communication skills
- Ability to effectively understand, follow, and communicate oral and written instructions in English. Must read, write, and speak English fluently to ensure clear work-related communication and patient safety
- Fluent Bilingual Spanish abilities (verbal and written) required
- Ability to adapt, prioritize, learn quickly, retain information, and work well at a fast pace, under pressure, in a continually changing environment
- Possesses and maintains appropriate router and internet speed for Remote work
- Permanently resides within thirty (30) miles of Tampa, FL
