About the Department:

The Physics Department provides: (1) High quality Physics instruction to the University community through courses in introductory physics; (2) educational opportunities for undergraduate and graduate students in physics through high quality curricula, faculty, and research programs; (3) outreach programs that advance scientific knowledge. Our research programs cover a diverse spectrum including astrophysics, general relativity, condensed matter theory and experiment, computational physics, biophysics, nanoscale science, physics education, experimental nuclear physics, particle and nuclear theory, and experimental atomic and molecular physics. The department enrolls approximately 110 graduate students and 140 undergraduate physics majors. The department size is approximately 56 faculty members. Essential Job Duties:

The Business Manager will serve as the department’s strategic operations leader, ensuring financial, administrative, and human resource functions support the Department Head’s vision and objectives. This role reports directly to the Department Head, with dotted-line reporting to the College’s Assistant Dean for Culture, Talent, and Human Resources, and the Assistant Dean for Finance and Business Management.

Key responsibilities include:

Financial Administration / Budget Management:

  • Independently manage all non-contracts and grants funding sources, including state appropriations, gifts, and foundation funds; coordinate contracts and grants activities with the college research office.
  • Develop, monitor, and analyze departmental budgets; prepare forecasts, conduct variance analyses, and provide actionable insights to leadership.
  • Maintain compliance with federal, state, university, college, and departmental policies, developing systems to ensure adherence across functions.
  • Approve, process, reconcile, and report department-wide and special-purpose financial transactions.
  • Compile and summarize complex financial data to support strategic decision-making, resource allocation, and departmental planning.

Business Operations / Strategy & Leadership:
  • Lead and oversee the department’s business operations, providing strategic guidance to the management team.
  • Contribute to long-range strategic planning, goal-setting, and growth projections for the department.
  • Serve as the primary departmental resource for financial and HR problem-solving, policy interpretation, and administrative guidance.
  • Collaborate with college and university offices to provide guidance on funding sources, compliance, and operational policies.
  • Take ownership of functional areas, ensuring high standards of accuracy, independence, and efficiency.

Human Resources & Staff Management (20%)
  • Supervise, manage, and train administrative staff responsible for budgets, HR, and other departmental functions.
  • Serve as a backup to ensure operational continuity during staff absences or transitions.
  • Provide guidance on recruitment, hiring, position management, training, and retention processes in compliance with all applicable regulations in partnership with the department’s HR Specialist.
  • Foster collaborative and supportive relationships within the department and across campus.

Other Responsibilities:

This position collaborates directly with the department head to develop and maintain business continuity plans, ensuring uninterrupted office operations despite all staff changes or turnover.

Minimum Education and Experience:

Requires post-baccalaureate credentials with 5+ years of relevant experience; a bachelor’s degree with 5+ experience including or exceeded by 1-2 years of supervisory experience may be substituted for the advanced qualifications on an exceptional basis.

Other Required Qualifications:

  • Working, as well as ability and desire to increase, knowledge of financial and accounting management experience, including GAAP knowledge, budget management, and financial reporting.
  • Demonstrated knowledge of, as well as the ability and continual desire to learn, federal, state, university, and departmental policies and procedures, with demonstrated experience developing and implementing policies.
  • Proven ability to work independently with a high degree of accuracy, take ownership of functional areas, maintain attention to detail, prioritize tasks, meet deadlines, and handle confidential matters with discretion..
  • Proven leadership and supervisory experience, with a strong capacity for collaboration, mentoring, and developing staff while fostering teamwork and initiative.
  • Excellent oral, written, and interpersonal communication skills; strong analytical, organizational, and planning abilities.
  • Skilled in decision-making, problem-solving, and implementing effective solutions for non-routine challenges.
  • Experience with Google Suite, Microsoft Suite, Finance and HR management systems.

Preferred Qualifications:

  • Graduation from a four-year college or university with a degree in Accounting, Finance, Business Administration, related business area, or equivalent experience;
  • Background in higher education, understanding its policies, procedures, and operational environment.
  • Familiarity with PeopleSoft Financial and Human Resource systems, including practical application in day-to-day operations.
