Job Description

We are seeking a detail-oriented Payment & Account Specialist to manage incoming payments, update customer accounts, and maintain accurate financial records. This role involves taking payments over the phone, posting them to the appropriate accounts, updating customer information, and performing skip tracing to locate missing or outdated contact details. The ideal candidate will have strong communication skills, exceptional attention to detail, and experience handling sensitive financial data securely.

Key Responsibilities

Take and process customer payments over the phone in a secure, PCI-compliant manner.
Post payments to customer accounts accurately and in a timely fashion.
Retrieve and update account information from spreadsheets or internal databases.
Maintain and update customer records including insurance details, addresses, and contact numbers.
Conduct skip tracing to locate customers with outdated or invalid contact information.
Verify and reconcile payment batches daily to ensure accuracy.
Communicate professionally with customers to resolve billing or payment issues.
Follow company policies, privacy standards, and data protection protocols.
Support the Accounts Receivable team with related administrative or research tasks.

Qualifications

High school diploma or equivalent required; associate degree preferred.
1–3 years of experience in payment processing, billing, customer service, or accounts receivable.
Strong computer and data entry skills (Excel/Google Sheets proficiency required).
Experience working with accounting or CRM software (e.g., QuickBooks, Salesforce, or similar).
Excellent verbal communication and customer service skills.
High degree of accuracy and attention to detail.
Ability to maintain confidentiality and follow PCI compliance standards.
Familiarity with skip tracing techniques or tools is a plus.
