About the Job:

Coeur Rochester is seeking a Document Control Specialist to join the team. This position is based at the mine site, approximately 25 miles from Lovelock, NV. The Document Control Specialist is responsible for coordinating the activities of document control for capital projects, including distributing and reviewing documents, filing, maintenance, and inventory of hardcopy and electronic files and tracking, and reporting on document review progress. They will also help administer the project controls, contract administration, and AFE processes, and other duties as assigned.

Responsibilities:

  • Coordination of document control activities including distributing and reviewing controlled documents, filing, maintenance, inventory and security of hardcopy and electronic files.
  • Tracking, and reporting on document review progress.
  • Liaise with subject matter experts on technical subjects to prepare controlled documents, conforming to Company standards, operating and maintenance procedures, and project management standards.
  • Utilize software to track, manage, and control issued documents, and maintain security for these documents according to Coeur Mining, Inc. IT and legal requirements.
  • Support the administration of project controls, contract administration, and AFE processes.
  • Responsible for utilizing software to track, manage, and control issued documents.
  • Perform administrative support functions for overall project record keeping.
  • Attends meetings, presents materials to participants, and prepares meeting notes and packages.
  • Assists in tracking and managing engineering, construction, and other project documents.
  • Ordering and re-stocking of office supplies and consumables
  • Create requisitions within Oracle
  • Basic housekeeping
  • Maintains change management logs, RFI logs, submittal logs and the flow of these documents.
  • Assists in Project Close-Out, file management, preparation of turnover documentation, and handover to Operations.
  • Assists in preparation of reports.
  • Assists in upkeep of record of construction and permit drawings.
  • All other document control and administrative duties for Limerick and Rochester as assigned.

Required Qualifications & Skills:

  • High School Diploma or GED required.
  • Minimum of 3-5 years of combined post-secondary education and document control experience in the heavy industry sector preferred.
  • Previous construction or mining project experience preferred.
  • Working knowledge and experience manipulating large databases, specifically in Microsoft Excel, and SharePoint.
  • Knowledge and experience with document control systems and software.
  • Effective communication skills with individuals at all levels of the organization.
  • Superior telephone manners and strong interpersonal skills.
  • Excellent analysis, interpersonal, verbal and written communication skills.
  • Ability to collaborate with multi-departments and people sensitively, tactfully, diplomatically, and professionally at all times.
  • Able to work efficiently as a part of a team as well as independently.
  • Computer literacy, including effective working skills of MS Word, Excel, PowerPoint, Microsoft Office, Oracle, and e-mail required.
  • Excellent time and project management skills.
  • Attention to detail in all areas of work.
  • Strong problem identification and problem resolution skills.
  • Motivated individual with proven initiative.

Additional Information:

  • Hourly Rate Range: $26.53 – $31.00 (DOE)
  • 4/10 Schedule: Mon-Thu
  • Quarterly bonus up to $4,100 (up to $16,400 annually)
