Executive Administrative Assistant 2 Job Summary: Talent Software Services is in search of an Executive Administrative Assistant for a contract position in Redmond, WA. The opportunity will be four months with a strong chance for a long-term extension. Position Summary: Client is seeking a highly motivated Executive Business Administrator to support 2-3 of our M2 managers. This role involves providing back-up support to Executive Assistants, team support, and assistance with special projects and events as needed. The ideal candidate will possess strong organizational skills, attention to detail, self-motivation, teamwork, and excellent communication and interpersonal skills. Primary Responsibilities/Accountabilities:Provide comprehensive support to M2 managers, including calendar management, travel arrangements, and expense reports. Assist with their direct reports as needed. Offering larger team support, including organizing morale events, onboarding and offboarding new hires, and procuring goods and services such as computer equipment, office supplies, and reference materials. Manage asset tracking and facility requests. Exercise sound judgment, tact, diplomacy, integrity, confidentiality, and professionalism in all communications and interactions. Build and maintain strong business relationships with executive-level and counterpart administrative staff both internally and externally. Key Projects: Calendar management across time zones, expense reporting, travel booking, compliance reminders, and distribution list management. Provide comprehensive support to M2 managers, including calendar management, travel arrangements, and expense reports. Assist with their direct reports as needed. Offering larger team support, including organizing morale events, onboarding and offboarding new hires, and procuring goods and services such as computer equipment, office supplies, and reference materials. Manage asset tracking and facility requests. Exercise sound judgment, tact, diplomacy, integrity, confidentiality, and professionalism in all communications and interactions. Qualifications:2-4 years of experience as a Business Administrator or in a similar role. Proficiency in the company's products, including Outlook, Excel, Word, PowerPoint, Visio, and SharePoint. Experience with companies' internal tools (MS Expense, Employee Central, etc.) is a plus. An Ideal resume includes strong organizational skills, the ability to manage multiple priorities, experience with Outlook and Office 365, and professional communication with executives 2-4 years of experience as a Business Administrator or in a similar role. Proficiency in Microsoft products, including Outlook, Excel, Word, PowerPoint, Visio, and SharePoint. Experience with Microsoft internal tools (MS Expense, Employee Central, etc.) is a plus. Process-driven, extremely organized, and detail-oriented. Ability to deal with ambiguity, make independent decisions, be proactive, and drive tasks to closure. Capable of managing multiple projects simultaneously, actively tracking pending items, and constantly reprioritizing tasks based on changing business needs. Preferred:Process-driven, extremely organized, and detail-oriented. High integrity and ability to handle confidential information appropriately. Ability to deal with ambiguity, make independent decisions, be proactive, and drive tasks to closure. Capable of managing multiple projects simultaneously, actively tracking pending items, and constantly reprioritizing tasks based on changing business needs. Strong interpersonal skills, integrity, self-awareness, and excellent customer service skills. Proven track record of excellent judgment, problem resolution, teamwork, negotiation, budgeting, analytical skills, decision-making skills, and the ability to work under pressure.
