Job Overview
As an Event Coordinator at A Taste of Your Town, you will play a crucial role in planning, coordinating, and executing food festivals across various locations. With 50% of your time spent traveling or on the road, you will work closely with the Event Manager, vendors, sponsors, and volunteers to ensure every event runs smoothly. This position requires flexibility, organization, and a passion for food and community.
Key Responsibilities
Event Planning and Coordination : Collaborate with the Event Manager to design, plan, and implement all aspects of the festival, including event schedules, logistics, and vendor arrangements.
Vendor and Supplier Management : Support the Event Manager as a point of contact for food vendors, general vendors, and event partners. Assist with communication leading up to and during the festival.
Gathering Information and Documentation : Collect all necessary information, logos, photos of products, permits, and Certificates of Insurance (COIs) from vendors and suppliers to ensure compliance with local regulations and festival requirements.
Answering Phones and Routing Incoming Emails : Handle incoming phone calls and emails, directing inquiries to the appropriate team members and ensuring timely responses to all communications.
Venue Management : Work with local authorities and venue partners to secure and prepare event spaces. Ensure all necessary permits and regulations are followed.
Volunteer Coordination : Recruit, train, and oversee event volunteers. Assign tasks and ensure all volunteers are prepared for event day responsibilities.
Customer Service : Ensure excellent guest experience by addressing concerns, handling inquiries, and maintaining a high level of professionalism throughout the event.
Weekend Work : Due to the nature of the events, weekend work is required, with most events taking place on Saturdays and Sundays with travel required for out of market events.
Post-Event Wrap-Up : Assist with the breakdown and clean-up of the event, conduct post-event evaluations, and provide feedback for future improvements.
Skills & Qualifications
Proven experience in event planning, preferably in the food and beverage or hospitality industry.
Currently enrolled in or recently graduated from a college/university program (preferred focus: Event Management, Marketing,Communications, or a related field).
Strong organizational and multitasking skills with attention to detail.
Excellent verbal and written communication abilities.
Ability to work in a fast-paced environment and adapt to changing priorities.
Proficiency in Google Suite - sheets, docs, drive, and slides.
Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools is a plus.
Availability to work flexible hours, including some evenings and weekends, as needed for events.
Strong project management skills with the ability to juggle multiple tasks and deadlines.
Excellent communication and interpersonal skills to liaise with vendors, clients, and team members.
Active and proficient in social media, including but not limited to Facebook, Instagram, TikTok, with the ability to assist in event promotions and community engagement.
Detail-oriented and highly organized with the ability to handle logistics and problem-solving during events.
Ability to work well under pressure and in a fast-paced environment.
Ability to travel frequently and work weekends.
A passion for food, culture, and community-building.
Experience in gathering vendor documentation, permits, and Certificates of Insurance (COIs).
Flexibility and adaptability to last-minute changes and requests.
A valid driver's license and the ability to travel independently for events.
