Essential Duties and Responsibilities:
All areas of responsibility listed below are essential to the satisfactory performance of this position, with reasonable accommodation, if necessary. Other related duties may be assigned.
- Greet guests in a professional, friendly, hospitable manner.
- Enforce building entry and safety protocols.
- Professionally administer all incoming calls and ensure phone calls are redirected to the proper person or department.
- Log all incoming sales leads into the CRM database.
- Open and close visitor area (locking doors, turning off lights).
- Maintain office supply inventory, control costs, and order office supplies as needed.
- Sort and distribute incoming mail according to established guidelines.
- Arrange catering requests for business lunches, etc. and track monthly catering expenses for the Executive Assistant.
- Monitor supply needs and process requests using a variety of software programs: PrintVision, Print Audit, FM Audit, Vcare, and ImageWare
- Process new supply requests or quotes in E-Automate.
- Processing supply requests from clients on the phone or submitted electronically.
- Responsible for understanding, staying updated on, and abiding by the Employee Handbook as written.
Qualifications/Requirements:
- In Office Position 5 days per week
- Professional appearance.
- Excellent phone etiquette.
- Excellent verbal communication skills.
- Punctual and Dependable.
- Able to work with minimum supervision.
- Should be customer service driven.
- Some knowledge of MS Office (Word, Excel, Outlook).
- Able to multi-task.
Education/Experience:
- High School Diploma or GED.
- One or more years of customer service and/or administrative experience.
Supervisory Responsibilities:
This position has no supervisory responsibilities.
