Position Summary
The Patient Care Coordinator (PCC) is the first and last impression for every patient who visits our practice. This role blends hospitality, accuracy, and operational excellence to ensure that each patient’s visit is smooth, efficient, and memorable. You’ll manage the schedule, coordinate treatment appointments, verify insurance, submit claims, and help maintain the heartbeat of the front office.
You will collaborate closely with the Office Manager, Treatment Coordinator, hygiene, and clinical teams to ensure optimal schedule utilization and a five-star patient experience.
Key Responsibilities
Patient Experience & Front Office Operations
- Warmly greet all patients in person and on the phone — with empathy, professionalism, and urgency.
- Manage check-in and check-out processes, verifying patient information, collecting payments, and scheduling follow-up appointments.
- Document every patient interaction in the communication log per HIPAA standards.
- Ensure all patients leave with their next hygiene and doctor appointments scheduled.
Scheduling & Production Support
- Own the daily schedule: identify and fill same-day and next-day opportunities using recall lists, broken appointment lists, and unscheduled treatment reports.
- Apply proper scheduling protocols to balance doctor and hygiene production goals.
- Manage no-shows, late arrivals, and cancellations promptly and professionally.
Insurance & Claims Accuracy
- Verify insurance eligibility and benefits before each appointment.
- Collect copays and pre-payments at check-in whenever possible.
- Submit claims in real time at checkout, ensuring all narratives and attachments are complete and accurate.
- Clear all claims in Vyne daily; escalate denials or holds for timely resolution.
Communication & Documentation
- Maintain detailed, time-stamped communication logs for every patient interaction.
- Protect patient privacy (PHI) and ensure full HIPAA compliance.
- Use professional, positive, solutions-oriented language at all times.
- Escalate patient complaints or unusual concerns to the Office Manager or COO immediately.
AR & Downtime Management
- When the schedule softens, work outstanding claims, recall lists, and unscheduled treatment tasks.
- Support sterilization or light tidying during downtime to help maintain smooth patient flow.

- AR follow-ups completed
Qualifications
- 1+ year of experience in a dental or medical front office preferred
- Familiarity with dental insurance verification and claims workflows
- Strong communication and multitasking skills
- Proficiency in practice management systems
- High school diploma or equivalent (associate’s or bachelor’s degree preferred)

Schedule
Full-time, Monday–Friday, 7:30 AM to 4:30 PM (1 PM on Fridays).
