Position Summary

The Part-Time Receptionist serves as the first point of contact for clients, visitors, and callers at Utah Legal Services. This role is essential in creating a positive and welcoming experience. Responsibilities include managing the front desk, answering and directing incoming calls with care and professionalism, providing exceptional customer service, and supporting administrative tasks to help our office run smoothly. As a key member of our team, the receptionist helps ensure that each person feels respected, supported, and heard from the very first interaction.


Key Responsibilities

  • Open the office at the beginning of the day, ensuring all systems and spaces are prepared foroperations.
  • Review voicemails and return callsin a timely manner.
  • Greet clients and visitors warmly and direct them to theappropriate personnelor meeting rooms.
  • Maintain a professional and welcoming reception area.
  • Answer, screen, and forward incoming phone calls in a courteous andtimelymanner.
  • Respond to general inquiries or route them to theappropriate department.
  • Provide basic andaccurateinformation to clients calling Statewide reception
  • Schedule appointments andmaintainthe firms calendar.
  • Assistwith filing, photocopying, scanning, and data entry.
  • Receiving, scanning, and uploading incoming mail.
  • Distributemail and packages toappropriatestaff members.
  • Print and send outgoing mail.
  • Assistclients with intake forms or other documentation as needed.
  • Handle confidential client information with discretion and in compliance with the firms policies.
  • Ensure the reception area isclean and stocked with necessary supplies, such as brochures and forms.
  • Monitor and restock office,breakroom, and supply room as needed.
  • Close the office at the end of the day, securing the premises and ensuring all equipment is properly shut down.


Qualifications

  • High school diploma or equivalent required.
  • Spanish speakingpreferred but not required.
  • Previousexperience in a receptionist or administrative role preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
  • Capable of using de-escalation skills when interacting with difficult applicants.
  • Strong verbal and written communication skills.
  • Ability to maintain professionalism and confidentiality at all times.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and prioritize tasks effectively.

WorkSchedule

  • Remote:Monday 9:00AM 3:00 PM
  • Inthe Office: Tuesday, Wednesday, and Thursday, 9:00AM 3:00 PM.

FLSA Status:This is part time non exempt position.

Physical Requirements

  • Ability to sit for extended periods and perform repetitive tasks, such as typing.
  • Occasionally lift and move office supplies or files up to30 pounds.


Reports to: Lead Receptionist & Mail Coordinator

Compensation: $18 per hour
