We are a growing immigration law firm led by a retired U.S. Immigration Judge, dedicated to helping clients navigate the immigration system with clarity, compassion, and precision. Our cases range from removal defense to humanitarian relief, and we are looking for a skilled Front Office Coordinator who would play a critical role in ensuring the smooth daily operations of the law office.
Compensation:$20 - $25 hourly
Responsibilities:Front Desk Client Relations
- Greet clients, answer phone calls, and manage office communications.
- Schedule attorney consultations and maintain accurate appointment calendars.
- Conduct initial intake interviews, collect client information, and explain basic processes.
- Provide trauma-informed support to clients, ensuring compassionate and professional service.
Case Preparation Filing
- Assist in drafting, preparing, and submitting USCIS applications (e.g., I-765, I-360, I-130, I-485, I-601A, I-751, I-290B, I-589).
- Assist with preparation of Immigration Court filings (e.g., Motions to Reopen, Written Pleadings, Motions to Dismiss, Appeals).
- Submit and track FOIA requests to USCIS, FBI, or related agencies.
- Translate and review critical client documents for accuracy and compliance.
Administrative Office Management
- Oversee incoming and outgoing mail while safeguarding confidentiality.
- Maintain and organize physical and digital case files (Dropbox, Google Drive).
- Manage office supplies and coordinate with vendors to ensure smooth operations.
- Train and mentor new administrative staff on office procedures.
Attorney Team Support
- Prepare affidavits, case summaries, and supporting evidence packets.
- Assist attorneys during client meetings, hearings, and case preparation.
- Provide interpretation and translation (Spanish/English, Russian/English, French/English) when necessary.
- Support the CEO/Managing Attorney by coordinating schedules and prioritizing tasks.
Education:
- High school diploma or higher; coursework or training in law, administration, or criminal justice preferred.
Experience:
- Minimum 1+ years in a legal, immigration, or administrative role. Experience preparing USCIS filings and court documents strongly preferred.
Skills:
- Bilingual is a plus.
- Proficiency in Microsoft Office and legal case management tools.
- Strong communication, multitasking, and conflict-resolution skills.
- Knowledge of trauma-informed practices and sensitivity when working with vulnerable populations.
