Job Purpose:
Access to Healthcare Network is seeking a friendly and organized Front Office/Operations Coordinator to be the welcoming face of our Las Vegas office. This role supports staff, members, and visitors by ensuring smooth daily operations and excellent customer service. You'll assist with administrative tasks, manage office supplies, coordinate mail, and support the Ryan White Management team.
Minimum Qualifications:
- High school diploma required; some college preferred
- 1+ year of administrative experience
- 2+ years of Microsoft Office experience
- Excellent customer service and communication skills
- Bilingual (English/Spanish) preferred
- Valid driver's license required and be able to drive the AHN company car when needed
- Must pass background checks and comply with HIPAA
Key Responsibilities:
- Serve as the first point of contact for visitors and callers, providing accurate information and directing inquiries appropriately
- Schedule eligibility appointments and maintain organized office operations
- Manage inventory, order supplies, and ensure a clean and orderly workspace
- Handle incoming/outgoing mail and courier services
- Track walk-in traffic and log cash received by program and purpose
- Assist with billing history research and member payment processing
- Support the Operations Manager with various administrative tasks
- Coordinate office events and meetings
- Create and print reports, flyers, and other materials
- Demonstrate professionalism and compassion in all interactions
- Adapt to changing schedules and departmental needs
- Perform other duties as assigned
Work Environment & Physical Requirements:
- Moderate noise level in a climate-controlled office
- Ability to:
- Stand for 3-6 hours/day
- Sit at a computer for 4-6 hours/day
- Perform repetitive hand/wrist movements
- Must be able to perform a range of physical activities with regular consistency, including bending, walking, sitting, squatting, reaching, twisting, pushing, pulling, grasping, kneeling, crawling, and/or climbing
- Lift and carry up to 50 pounds consistently
