WHAT YOU WILL DO

Job Summary

The Georgia State University Foundation Board Assistant provides essential administrative and logistical support to the Foundation Board, ensuring efficient board operations and communication. This role assists with meeting coordination, record management, event planning, and board communication. The position requires strong organizational skills, professionalism, and the ability to manage multiple tasks in a fast-paced environment. This position primarily reports to the Senior Director of Board Relations to the Board, with dotted-line reporting relationship to the GSU Foundation CFO.

Key Responsibilities

  • Assist in scheduling meetings utilizing doodle pools and survey tools, typing agendas for committees and full board, distributing materials and/or place on onboard in a timely fashion.

  • Day prior to each board/committee test Onboard features to ensure they are operative and have a backup plan in the event technology is not working.

  • Record, type and transcribing accurate minutes in a timely manner (preferably within one week of each meeting), receive approval from the Senior Director of Board relations and AVP of Finance/CFO, and distribute to the appropriate board members for review. Upload to Onboard in a timely manner.

  • Assist in maintaining legal and governance documents, board policies, and ensure adherence to institutional and regulatory guidelines.

  • Maintain a directory of the full board, its special committees, and groups with stop and start dates within ASCEND.

  • Assist in serving as a point of contact between board members, and the leader of board relations and AVP of Finance/CFO when necessary.

  • Assist in organizing logistics for board meetings, retreats, and special events, ensuring all aspects run smoothly.

  • Maintain organized and secure files of board records, policies, and historical documents.

  • Provide general administrative assistance, including handling correspondence, scheduling appointments, and preparing reports.

  • Handle sensitive board-related information with discretion and confidentiality.

  • Maintain shared digital documents that AVPs, VP, and other administrative staff can readily look up information on the current and histories of the board and committees.

  • Provide liaison services for both the leader of Board Relations (direct report) and the AVP of Finance/CFO (dotted line) – calendaring, planning and scheduling meetings for each leader, processing invoices (these should be done in a timely manner); provides other database and clerical support.

  • Manage calls on specific days.

  • Occasional nights, weekends, and travel are required.

  • The description is not all encompassing and there will be other duties as assigned.

  • Hires, supervises, and assigns work to student employees and/or part-time workers and ensures the accuracy of their work.



Qualifications

Minimum Hiring Standards:

  • Bachelor’s degree in business administration, nonprofit management, public administration, or a related field and minimum of 3-5 years of experience in administrative support, board operations, or governance assistance
