HR & Administrative Assistant – $25-$28/hr
This is a contract position with the opportunity to get hired full-time.
Location: Katy, TX
Pay Rate: $25 - $28/hour
Schedule: Monday thru Friday 8am to 5pm
HR & Administrative Assistant Summary:
The HR & Administrative Assistant (Entry Level) plays a key role in supporting both the Human Resources and Administration teams. This position is responsible for assisting with daily operations, employee support, and office coordination. It serves as an entry point for developing skills and gaining experience in HR and administrative functions.
HR & Administrative Assistant Responsibilities:
- Post job advertisements and maintain candidate databases.
- Schedule interviews and manage candidate communications.
- Prepare new hire kits and assist with onboarding and orientation programs.
- Maintain employee files and update HR systems with attendance and leave data.
- Monitor and track employee records, including probation periods and training activities.
- Respond to routine employee inquiries regarding policies, leave, and benefits.
- Assist in planning and coordinating training sessions and employee engagement activities.
- Ensure completion and accuracy of employee documentation (forms, tax, insurance, ID, etc.).
- Review timecards and prepare payroll information.
- Support HR audits and distribute HR policies, procedures, and notices.
- Monitor and manage office supplies inventory.
- Coordinate with vendors for office supplies, housekeeping, and courier services.
- Provide support for workplace maintenance activities.
- Manage front office operations, including phone calls, emails, and visitor reception.
- Assist with scheduling meetings, booking conference rooms, and arranging travel.
- Organize, file, and archive company documents systematically.
- Draft and prepare letters, memos, and reports for management.
- Distribute documents and internal communications to appropriate staff.
- Assist in organizing company events, workshops, and staff meetings.
- Manage travel arrangements and accommodation for employees.
- Provide support to visitors and clients at the office.
- High school diploma or equivalent (GED) required
- Strong proficiency in written and spoken English
- Bilingual preferred
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential
- Excellent organizational, analytical, interpersonal, and communication skills, both written and verbal
- Proactive, resourceful, and positive attitude
- Strong ability to interact professionally and effectively at all organizational levels
- Self-motivated, detail-oriented, and efficient in completing assignments and projects accurately and on time
- Must have reliable transportation
- Must be able to pass employment screenings
