Inside Sales Representative
Summary of Responsibilities
Represents Yupo as the key product and general customer contact for orders, price quotations, service, delivery, complaints, and general questions for Latin America and U.S. Communicates with Field Sales force on all aspects of customer order entry, delivery, and pricing. Communicates with Manufacturing, Logistics, Shipping, Accounting, IT, and other departments to meet customers’ needs and sales forecast. Coordinates and maintains order entry system from sample requests to payments. Coordinates and implements special projects related to Sales and Marketing. Maintains and projects a positive quality image externally and internally.
Essential Functions
• Answers all incoming phone calls for Customer Service. Analyze phone requests and respond appropriately. Calls include general requests, requests for pricing, requests for product availability, requests for samples, requests for technical advice, requests to return materials, and feedback on product performance.
• Enter customer quotation requests on an accurate and timely basis and discuss with appropriate Sales and Marketing personnel if required.
• Communicates with Yupo field sales on large/critical customer quotations.
• Enters customer orders on an accurate and timely basis, cross checks orders, monitors through system to shipment.
• Reviews product inventory and advises customers on expected delivery dates for all orders.
• Communicate with customers on order status.
• Maintains customer data in the company CRM and ERP system for all orders, quotations, comments, and inquiries from customers.
• Receives and processes requests for returned materials from customers. Analyze requests and advise customers on return material policy and procedures.
• Initiates and reviews invoicing documents for all customer orders and return materials.
• Initiate new product item setups based on orders from customers.
• Research customer order history and general profile. Provide appropriate information to Sales and Marketing.
• Remains current on the general technical characteristics of YUPO products.
• Tracks shipments and updates customers on deliveries.
• Tracks PPA accounts and debits freight to customers within financial guidelines. Enter all debit and credit invoices.
Other Functions
• Provides back up for other Customer Service positions and Sample Room.
• Other duties as required.
Requirements
• 4-5 years prior Customer Service experience is desired. Innovative problem-solving and demonstrated interpersonal excellence valued over years of service.
• Computer skills: proficiency in MS Office (Excel, Word) and other relevant company systems
and software.
