Job Title: Front Office/Receptionist FT
Reports to: Office Supervisor
Supervision Received From: Office Supervisor
Supervision Exercised: None

Typical Physical Demands: Work may require sitting for long periods of time; also stooping, bending and stretching for files and supplies. Occasionally lifting files or paper weighing up to 30 pounds. Requires manual dexterity sufficient to operate a keyboard, type 60 wpm, operate a calculator, telephone, copier, and such other office equipment as necessary. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts. It is necessary to view and type on a computer screen for long periods and to work in an environment which can be very stressful.

Typical Working Conditions: Work is performed in reception area. Involves frequent contact with patients. Work may be stressful at times. Interaction with others is constant and interruptive. Contact involves dealing with sick people.

General Statement of Duties: Greets, instructs, directs and schedules patients and visitors. Serves as liaison between patient and medical support staff. Responsible for all financial transactions and computer input within the practice.

General Duties: (This list may not include all of the duties assigned.)
  • Greet patients and notify appropriate personnel of patients' arrival
  • Verify insurance eligibility as necessary
  • Collect co-pays and other due balances
  • Enter and update all patient demographic information onto computer
  • Generate and complete patient encounter forms Balancing of cash receipts
  • Answer phones, take and follow-up on messages, route to appropriate personnel Schedule appointments, answer the phone with follow-up
  • Assist with special test and appointment scheduling
  • Enter scheduling changes into computer and onto appointment sheets
  • Complete referralsand authorizations
Check -In
  • Count cash drawer before opening
  • Greet patient checking in Verify insurance and demographics with patient
  • Copy insurance card if needed
  • Date stamp copy of card in chart
  • Collect any co-pay due and note payment on encounter form
  • Update demographic information in computer
  • Back-up Family Practice appointment scheduler
  • Schedule management for nurses, print updated schedules
  • Miscellaneous tasks as time allows; appointment confirmation (backup scheduler and return mail)
  • Assist with check-out
  • Count cash drawer at end of day
  • Close down procedure (equipment off, waiting room clean, coffee off, etc)

Check-Out
  • Acknowledge patient checking out
  • Collect any payment due
  • Answer patient questions and concerns regarding billing
  • Complete encounter forms
  • Complete any forms needed (DMV, Employment physicals, copies, etc.)
  • Schedule follow-up appointments
  • Schedule appointments up to six months out when scheduling procedures, inquire if patient has been instructed and given handout(s) for prep (ie: flex sigs)
  • Update demographics when needed
  • Batch day's encounter forms
  • Balance and batch day's cash
  • Miscellaneous duties as needed
  • Close down procedure (equipment off, waiting room clean, coffee off, etc.)
