SHIFT: Monday – Thursday from 8 AM to 4:30 PM; Friday from 8 AM to 4:00 PM
Job Summary:
A Scheduler will maintain doctors’ schedules and answer a multi-line phone system. Employee will adhere to and comply with the RA Code of Conduct, RA Employee Handbook, and HIPAA Compliance.
Essential Functions and Responsibilities:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The responsibilities listed below are representative, but not all-inclusive, of the duties required to perform this job.
- Answer calls promptly and professionally.
- Transfer calls to nurse if available or send a message to nurse via telephone encounter.
- Schedule, cancel or reschedule appointments when requested by patient via telephone call or web encounter.
- Confirm appointments via phone, text and email.
- Update patient demographics.
- Update patient’s insurance information and notify the insurance department.
- Check for valid referral prior to scheduling appointments and notify the referral coordinator if referral is needed.
- Ensure schedules are filled daily.
- Check voicemail and return calls promptly.
- Handle requests to switch physicians within the practice.
- Reschedule appointments and rearrange schedule upon doctor’s request.
- Update and maintain the cancellation list for each physician.
- Perform other related duties as directed or assigned.
- Annual TB Screening and Flu Vaccination required.

- Ability to listen to get clarification from patients and insurance representatives.
- Experience with eClinical Works EMR system preferred
Education and Experience:
- High School Diploma or equivalent.
- Customer service: 1 year (Preferred)
- Working in a Medical Office setting: 1-2 years (Preferred)
- Medical Terminology: 1 year (Preferred)
- Computer skills: 1 year (Preferred)
