Homeland Safety Systems is seeking a professional, organized, and customer-focused Receptionist/Operations Assistant to serve as the first point of contact for all customers, visitors, vendors, and employees. Supporting the daily operations of the company by managing calls, maintaining accurate records, comprehensive documentation, effective communication across departments, and providing essential administrative support. The ideal candidate will represent the company with a high level of professionalism, integrity and confidentiality, supporting both front desk operations and administrative functions in a fast- paced security environment.
Key Responsibilities:- Greet and assist visitors, customers, and employees in a courteous and professional manner
- Answer and direct incoming phone calls using a multi-line phone system
- Maintain accurate records of customer interactions and operational activities
- Demonstrate strong deductive reasoning skills to track and prioritize customer requests
- Assist with administrative tasks such as filing, data entry, document preparation, and other projects as needed
- Ensure timely communication of work order status and customer escalation requests
- Ensure proper security protocols are followed
- Handle sensitive information with discretion and confidentiality
- High school diploma or equivalent; associate degree preferred
- Prior experience in a receptionist or administrative role, preferably in a security or professional services environment
- Experience with scheduling software and CRM
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to work independently and as part of a team
- Onsite office setting with frequent interaction with customers and staff
- May require occasional lifting of ofice supplies or packages
- Business hours are 7:30 AM to 5:00 PM, Monday through Friday, with potential for overtime
