Receptionist - Kearny Mesa Subaru/Genesis

Job Summary:

The Service Receptionist is the first point of contact for customers visiting or calling the Service Department. This role provides exceptional customer service by greeting guests, answering phones, scheduling service appointments, and assisting with administrative support to ensure an efficient and professional service experience.

Essential Functions:

  • Greet all customers promptly and professionally as they arrive in the Service Department.
  • Answer incoming phone calls, route calls to appropriate personnel, and take accurate messages.
  • Schedule and confirm service appointments, ensuring accurate entry into the appointment system.
  • Communicate with Service Advisors to ensure customers are assisted in a timely manner.
  • Provide general information regarding service hours, vehicle status, and available amenities.
  • Assist in maintaining an organized and professional reception area and service drive.
  • Handle basic customer inquiries and direct them to the correct department when needed.
  • Collect customer information and update records in the dealership management system.
  • Assist with administrative tasks such as filing repair orders, scanning documents, and data entry.
  • Support the Service Department with clerical duties as needed.
  • Maintain a positive and helpful attitude when interacting with customers and coworkers.
  • Maintain satisfactory attendance.
  • Perform other related duties as assigned.

Supervisory Responsibilities:

  • None.

Qualifications:

Minimum Qualifications:

  • Previous experience in a receptionist or front desk role.
  • Ability to lift up to 15 pounds at times.
  • Ability to perform all essential functions of the job description.

Preferred Qualifications:

  • Previous experience as a receptionist, customer service representative, or administrative assistant in an automotive dealership or service environment.
  • Familiarity with dealership management systems (e.g., CDK, Reynolds & Reynolds, Dealertrack).
  • Strong verbal and written communication skills.
  • Proficiency in using office equipment, including computers, phone systems, and fax machines.
  • Familiarity with office software such as Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent organizational skills and attention to detail.
  • Ability to handle multiple tasks simultaneously and work effectively under pressure.
  • Basic understanding of administrative and clerical procedures and systems.
  • Proficient with Microsoft Office Suite or related software.

Physical Requirements:

  • Frequently stands, walks, sits; uses hands; frequently reaches with hands and arms; frequently talks and hears.
  • Occasionally climbs or balances; occasionally stoops, kneels, crouches, squats or crawls; occasionally lifts up to 15 pounds.
  • Prolonged periods sitting at a desk and working on a computer.

Environment/Noise:

  • Primarily in the service drive or customer waiting area.
  • Climate controlled.
  • Noise level is moderate.
