Job Description: Thompson Gray, Inc. is seeking a professional, organized, and customer-focused Receptionist / Office Administrator to serve as the first point of contact at our corporate headquarters. This position supports daily office operations, greets visitors and clients, manages incoming calls, assists with administrative tasks, and ensures an efficient, welcoming office environment.

The ideal candidate will be a dependable multitasker with excellent communication skills and strong attention to detail. This role is essential in supporting our company's day-to-day administrative and facility functions while upholding Thompson Gray's commitment to professionalism and exceptional service.

Location: Huntsville, AL (Onsite)

Employment Type: Full-Time, Non-Exempt

Reports To: Director of Business Operations

Duties:

  • Serve as the primary front-desk representative and first point of contact for all visitors, clients, and vendors.
  • Answer and route incoming calls, monitor the main company inbox, and ensure timely responses to general inquiries.
  • Maintain conference room schedules, manage visitor check-in/out procedures, and prepare meeting spaces as needed.
  • Support office operations, including mail and package handling, supply ordering, and coordination with facility vendors.
  • Assist with onboarding and offboarding logistics, including issuing access badges, preparing new hire materials, and coordinating workspace readiness.
  • Provide administrative support to corporate departments (HR, Accounting, Security, etc.) as assigned.
  • Maintain a professional, organized, and welcoming office environment consistent with company standards.
  • Support planning and logistics for company meetings, events, and employee engagement activities.
  • Serve as a liaison for building management, maintenance, and service vendors.
  • Perform additional administrative and clerical duties as needed.

Required Qualifications:

  • High school diploma
  • 3+ years of experience in an administrative, receptionist, or office support role
  • Excellent verbal and written communication skills.
  • Strong organizational skills with ability to prioritize and manage multiple tasks.
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams).
  • Professional demeanor, punctuality, and discretion with sensitive information.
  • Experience supporting a corporate or government contracting environment is a plus.
  • US Citizenship Required

Preferred Qualifications:

  • Associate's degree or higher education
  • 5+ years of experience in an administrative, receptionist, or office support role
