Minimum Qualifications:
- High school diploma or equivalent.
- Proven experience as a receptionist or in a similar administrative role.
- Proficiency in handling multi-line phone systems and general office equipment.
- Strong communication and phone etiquette skills.
- Basic computer skills including familiarity with scheduling software and Microsoft Office.
Preferred Qualifications:
- Experience working in a healthcare or pediatric office setting.
- Knowledge of medical terminology and patient confidentiality regulations (HIPAA).
- Ability to multitask efficiently in a fast-paced environment.
- Customer service training or certification.
- Bilingual abilities, especially in Spanish, to assist a diverse patient population.
Responsibilities:
- Answer and manage multiple phone lines promptly and professionally, directing calls as necessary.
- Greet patients, families, and visitors warmly and assist with check-in procedures.
- Schedule and confirm patient appointments using the office scheduling system.
- Perform general office duties such as filing, copying, faxing, and maintaining organized records.
- Coordinate communication between medical staff and patients to ensure smooth office operations.
- Maintain the reception area to ensure it is tidy and welcoming at all times.
- Assist with administrative tasks including data entry, handling mail, and managing office supplies.
