We are looking for an organized and detail-oriented Receptionist to join our team on a contract basis in Lynnwood, Washington. In this role, you will serve as the first point of contact for visitors and callers, while also supporting various administrative tasks and internal processes. This position provides an excellent opportunity to contribute to a dynamic aerospace environment and collaborate with multiple departments.
Responsibilities:
• Manage reception area operations, including greeting visitors and ensuring the corporate message is displayed appropriately.
• Coordinate facility maintenance, office moves, and other events in collaboration with internal and external stakeholders.
• Process daily shipments using the preferred shipping carriers, ensuring accuracy and timeliness.
• Provide administrative support to the Communications Team and other departments as needed.
• Facilitate Foreign National visits by conducting restricted party screenings, verifying documentation, issuing badges, and completing necessary compliance processes.
• Research licensing requirements for defense-related visits and maintain accurate records in SharePoint and Oracle.
• Assist with badge access system management and support facilities as required.
• Act as a backup for Office Services personnel when needed.
• Organize and archive site data in collaboration with internal teams and external service providers.
• Handle clerical tasks such as answering multi-line phone systems and managing inbound calls.• Proven experience as a receptionist or in a similar administrative role, with at least 3 years of experience.
• Proficiency in managing multi-line phone systems and switchboards.
• Strong organizational skills and attention to detail.
• Familiarity with compliance processes, including handling Foreign National visits and restricted party screenings.
• Ability to research and maintain licensing documentation.
• Comfortable using software such as SharePoint, Oracle, and Microsoft Office.
• Excellent communication and interpersonal skills.
• Capable of multitasking and prioritizing tasks effectively in a fast-paced environment.
