Responsibilities:
- Be the first friendly face our clients see and the welcoming voice they hear when they call.
- Masterfully manage the reception area, answer and direct phone calls, and take messages.
- Keep our schedules on track by managing appointments and calendars.
- Handle incoming and outgoing mail and packages like a pro.
- Be the go-to person for the Owner for tasks that keep our operations running smoothly.
- Provide stellar customer service by handling billing inquiries and general questions from clients and direct inquiries as needed to team members.
- Make outbound calls (appointment reminders, billing follow-ups, claim check-ins, and community outreach).
Expectations for the Role:
- Provide consistent, positive customer experiences in both English and Spanish.
- Confidently make outbound calls to support office goals and customer engagement.
- Keep office operations running smoothly with organization and attention to detail.
- Be reliable, punctual, and able to juggle multiple tasks in a busy office.
- Bilingual (Spanish/English) able to communicate clearly and professionally in both languages.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Comfort with technology, phones, and learning new office software.
- Prior customer service or administrative experience preferred, but not required.
