Trout CPA, a full service public accounting firm, is seeking a Receptionist for our Lancaster office (Oregone Pike). The Receptionist will be the first point of contact for visitors including clients and vendors. The ideal candidate will have excellent communication skills, a professional demeanor, and the ability to manage various administrative tasks efficiently.
Key Responsibilities:
- Greet and welcome clients and visitors in a friendly and professional manner.
- Answer and direct phone calls to appropriate staff members.
- Manage incoming and outgoing mail, including sorting, distributing, and preparing for delivery.
- Schedule appointments, meetings, and maintain calendars for staff.
- Assist with administrative tasks such as data entry, document preparation, sorting, and scanning of client documents.
- Maintain the reception and meeting areas, ensuring they are clean and organized.
- Assist in coordinating office supplies and replenishing stock as needed.
- Support the team with additional clerical duties as required.
- Coordinate in-office events/meals for employees and clients.
- High school diploma or equivalent
- Two (2) or more years experience in a receptionist or administrative role preferred, especially in a professional services environment
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment
- Previous experience with a CRM database is highly desirable.
- Excellent verbal and written communication skills
- Strong organizational skills with the ability to multitask and prioritize
