Location: Boca Raton, FL (Onsite)

Hours: Full-time | Monday–Friday, 9:00 AM–6:00 PM

Key Responsibilities:

• Manage day-to-day communication with clients and internal team members

• Maintain accurate candidate records and oversee recruiter activity

• Approve submissions and ensure documentation is compliant and up to date

• Enter and verify new client information, billing details, and agreements

• Generate, verify, and deliver weekly billing reports

• Coordinate and publish job postings with clarity and accuracy

• Track candidate progress, placements, and terminations across accounts

• Collaborate with leadership on compliance and workflow improvement

• Support key business initiatives and reporting needs


Requirements:

• Excellent memory, fast typing, and ability to learn and apply new processes quickly

• Strong organizational and calendar management skills

• High attention to detail and consistency in task completion

• Familiarity with CRMs or ATS systems

• Strong critical thinking skills and habit of double-checking work

• Clear, professional verbal and written communication

• Friendly, personable energy and a “can-do” attitude

• Willingness to take ownership of mistakes, learn quickly, and improve without emotional distress

• A pleasure to work with — cooperative, helpful, and reliable under pressure

• Availability Monday–Friday, 9:00 AM–6:00 PM (occasional non-urgent evening tasks)

• No sales experience required (not a sales role)


Nice to Have:

• 2–4+ years in sales operations, recruiting support, or administrative coordination

• Experience creating or managing job ads and small advertising budgets

• Background in digital marketing or social media coordination

• Familiarity with billing verification or client communication templates

• Experience documenting standard operating procedures (SOPs)

• Bachelor’s degree in Communications, Business, Marketing, or related field

• Experience supporting compliance, recruiting, or operations teams in a fast-paced setting


Compensation & Growth:

• Salary: $45,000–$55,000 DOE
