About the Role:

The Sales and Catering Coordinator is an administrative position that assists the Sales & Catering Team. Qualified applicants must possess excellent organizational and communication skills. Duties include customer phone relations and providing assistance for Sales and Catering Managers. A friendly attitude, willingness to assist, ability to solve problems, attention to detail, and proficiency in computer office systems is required. An understanding of basic accounting principles is also helpful in this position. This position reports to the Director of Sales & Catering with an additional relationship to the Director of Revenue. Basic schedule will be Monday-Friday 8:30-5pm. Pay based on experience.

ESSENTIAL JOB FUNCTIONS: Include the following, but other duties may be assigned.

  • Monitor and maintain the sales fax machine and printer for paper supply, toner and distribute incoming faxes in a timely manner
  • Prepare daily flash report
  • Prepare and distribute 16-day occupancy report
  • Prepare monthly sales report
  • Maintain supplies, sales packets, etc. so that all materials are readily available for the Sales Department
  • Organize and create electronic and paper catering files
  • Prepare and distribute Group Resumes and BEO Packet
  • Prepare and distribute Monthly Operations Calendar
  • Check 2CC spreadsheets once group invoices have been prepared
  • Handle all aspects of entering group information into Maestro including – creating the file, building rates, setting up the A/R, charging deposit, entering rooming lists and setting the billing for individual reservations
  • Enter actualized rooms in sales tracking software
  • Distribute tentative and definite paperwork to appropriate departments
  • Special projects when needed
  • Take inquiries from potential clients when sales managers are unavailable
  • Answer multiple phone lines: Answer all incoming lines into the sales office with the goal of a caller never goes into voicemail without requesting to do so
  • Automatically prepare thank you letters with evaluations and present to Sales Manager for signature, then execute the mailing within one week of group’s departure
  • Assist catering department with VIP amenities
  • Prepare and send contracts, proposals and collateral to clients after approval from the Sales Manager
