1446 Secretary II
As a Secretary II, you will manage the office and supervise the administrative team assigned to the Director's Office Reception area. We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multi-task while maintaining complex schedules and managing administrative responsibilities is essential in this position. The ideal candidate for this job is resourceful, a good problem-solver, and organized. Assuring a steady completion of workload in a timely manner is key to success in this position. You will provide supplemental support to the Airport Integrated Operations Center (AIOC) as-needed. You will also participate in rotational assignments to provide temporary critical/essential support in various areas of the Airport as determined and approved.
You are excited about this opportunity because you will:
Clerical Staff Supervision
- Assign projects to staff; follow up to ensure timely completion of clerical projects; reassign projects to staff as required; and complete projects according to highest priorities.
- Ensure telephone coverage of Reception area.
- Hold staff meetings for clerical staff as required.
Front Desk Reception
- Act as response person on phone calls and front desk reception coverage on a rotational basis.
Daily Operation
- Assist with internal and external communications (e.g. schedule meetings; prioritize mail; screen telephone calls and walk-in job seekers, workers, and other stakeholders; draft correspondence, memos, emails, reports, and forms; research, organize, and document various information).
- Prioritize and track multiple demands (i.e. invoices, travel and training, etc.).
- Prepare for meetings: reports, memos, presentations, minutes, etc., as assigned.
- Maintain administrative files and other related records.
- Maintain office supplies by checking inventory and ordering items; assume responsibility for maintenance of office equipment, including computers, copy machines, and fax machines.
- Respond to questions and requests for information.
- Answer incoming calls and assume other receptionist duties when needed.
- Edit, create, and/or update standard operating procedures for the office.
- Assist with travel bookings.
- Assemble materials for the Airport Director.

Minimum Qualifications:
Experience: Ability to type 40 net words per minute AND Two (2) years of secretarial experience encompassing editing and independently composing letters and other correspondence utilizing word processing systems; researching, compiling and organizing data for various reports; and maintaining office/record systems.
Substitution:
- Three (3) years of verifiable clerical experience comparable to a 1424 Clerk Typist.
- A recognized clerical training program of 240 hours or the equivalent of 15 semester units in graded clerical college units may substitute for up to 6 months of experience.
Supplemental Information: May be required to take shorthand dictation or to type from machine transcription. Positions requiring shorthand: 100 WPM
Desirable Qualifications:
- Proficiency in MS Office with expertise in Microsoft Office, Word, PowerPoint, and Excel.

One year full-time employment is equivalent to 2,000 hours (2,000 hours of qualifying work experience is based on a 40 hour work week). Any overtime hours that you work above 40 hours per week are not included in the calculation to determine full-time employment.

What else should I know?
Transportation Security Administration (TSA) Security Clearance: Candidates for employment with the San Francisco Airport Commission are required to undergo a criminal history check, including FBI fingerprints, and Security Threat Assessment in order to determine eligibility for security clearance and may be required to undergo drug/alcohol screening. Per Civil Service Commission Rule Section 110.9.1, every applicant for an examination must possess and maintain the qualifications required by law and by the examination announcement for the examination. Failure to obtain and maintain security clearance may be basis for termination from employment with the Airport Commission.
