Job Description:
Budget Title: Staff Assistant (SL-2)
Salary: $51,261-$60,000 (Commensurate with experience)
The Staff Assistant to the Senior Director of Operations will be responsible for providing primary administrative support to the Senior Director of Operations and the Operations Group. Additionally, the incumbent will be responsible for various functions that support Facilities Management Operations.
Duties will include:
- Provide confidential administrative support to the Senior Director of Operations and Assistant Directors of Operations.
 - Schedule meetings and manage staff calendars
 - Process training & travel requests and reconciliations
 - Assist with compiling and inputting data into the department's Computerized Maintenance Management System
 - Maintain an up-to-date tracking and reminder system to assure that crucial deadlines are met and priority issues are addressed in a timely manner
 - Maintain the master Operations project list. Assist with developing schedules and preparing project requests for critical maintenance projects
 - Schedule, coordinate, and track the annual Compliance Training for all FM Operations staff. Facilitate in-person training sessions
 - Coordinate the new employee on-boarding program and maintain up-do-date documentation. Collaborate with Operations supervisors to improve the program as needs evolve
 - Maintain the Facilities Management Training Database
 - Track evaluation schedules for Operations professional staff
 - Assist with monitoring work order backlog
 - Assist with custodial work loading
 - Assist with the development of metrics to quantify department performance, compiling of data, and preparation of dashboards for management staff
 - Prepare various reports and presentations; perform data entry; provide support for correspondence
 - Assist with procurement processes, including requisitions, p-card reconciliations, etc.
 
The successful candidate will possess:
- Effective written, oral, and electronic communication skills
 - Effective organizational and computer skills
 - The ability to interact effectively with the campus community, including faculty/staff, students, visitors, & vendors
 - The ability to effectively handle competing priorities and multiple tasks simultaneously
 - The ability to create and maintain accurate and detailed records
 - The ability to deal with individuals while maintaining composure
 - The ability to interact with peers in group settings
 - The ability function in a service-oriented environment
 
Although the primary schedule for this position is Monday-Friday, due to the nature of facilities operations, this position may occasionally be required to work evenings and weekends. This is a 100% on-site position and is designated as an Essential Employee.
This is a 100% salaried professional position, represented by United University Professions with annual renewal requirements, and is eligible for an excellent NYS benefits package.
Requirements:
- Bachelor's degree (or higher)
 - Minimum of two years' experience in an office setting
 - Demonstrated proficiency in a variety of software programs including word processing, spreadsheet, and presentation applications
 - Effective written and electronic communication skills
 - Effective interpersonal and organizational skills
 - Ability to handle multiple assignments simultaneously
 - Ability to prioritize and adapt to rapidly changing priorities
 
Preferred:
- 4 or more years of experience working in an office setting
 - Experience in a Facilities Management or related setting
 - Experience working in a complex, multi-disciplinary setting
 - Experience scheduling meetings and managing calendars using Outlook or Google Calendar
 - Experience using various business software such as database applications
