Primary Duties and Responsibilities:
Responsible for the successful operation of the Print Services and Support Services departments. Department functions include Digital Print Production, Wide Format Printing, Flatbed Printing and Cutting, Pre-Print File Manipulation, Engraving, Switchboard Operation, Word Processing, College Fleet Vehicle Management, Copier Fleet Management, Inventory Management, and Internal Billing Procedures. Provide prompt, efficient, and reliable service which meets or exceeds customers' expectations; work with students, faculty, and staff on a daily basis.

  • Supervise Print and Support Services and staff. Establish priorities for workflow by assigning and distributing work to be performed, including but not limited to word processing and print/copy requests. Ensure all work performed for clients is of the highest quality and delivered in a timely manner. Coordinate turnaround time with client needs. Maintain copyright compliance to avoid litigation. Follow-up as required ensuring prompt delivery and notifications are maintained and requisitions are processed efficiently and accurately.
  • Train and schedule Print and Support Services employees for full coverage to established performance targets.
  • Coordinate college-wide printing services and operations. Responsibilities may include recommending and implementing operating procedures, estimating printing costs, evaluating equipment maintenance agreements, perform troubleshooting assistance, training, and technical support to minimize downtime while acting as a liaison between College users and the vendor representatives at all levels. Work as a liaison between vendor and COD Information Technology. Track complex statistical data used for processing cost and evaluating future fleet and production needs of the College. Manage ordering and distribution of print supplies for contracted and out-of-scope devices.
  • Interview prospective employees, make hiring recommendation, evaluate and administer corrective action as required. Oversee orientation and training of new staff for proper operation of all equipment and effective customer service. Provide and encourage staff development opportunities for staff. Assist in the management of time documents and employee files.
  • Prepare monthly reports on services, volumes, downtime, etc., and make recommendations for improvements. Monitor ordering of print supplies. Prepare monthly chargeback for all services. Understand, monitor, and adjust print software system. Arrange for relocation and driver updates whenever print devices are involved.
  • Assist Manager by testing and evaluating equipment and software, attending seminars, workshops and demonstrations to keep abreast of the newest technologies to perform efficiently and effectively. Prepare equipment rationales as required.
  • Continually monitor processing of work for quality and cost effectiveness.
  • Responsible for billing and estimates of costs for internal allocations. Assist in preparation and administration of budget. Maintain inventory of all paper stock and supplies, managing order and deliveries to meet production needs. Communicate with vendors to keep abreast of equipment and cost updates.
  • Responsible for creating and managing special print accounts for outside contractors, student employees, and service accounts. Serve as a resource person for questions, problems, and troubleshooting. Monitor and troubleshoot student and public user transactions for the Pay-for-Print program. Assist and advise clients on proper procedures, services available, etc., making proper referrals and recommendations.
  • Monitor and troubleshoot issues that occur within the College's Print Management Software and Web Submission Tool.
  • Implement office procedures/practices as established by the Manager. Produce and maintain office procedure manuals, writing and updating all procedure


  • Qualifications:

    • Education
      • High School Diploma with college level courses in Business or general office management and supervision required.
      • Associates Degree in Office Technology Information with college level courses in accounting preferred.
    • Experience
      • Five years of experience in a large business or educational environment with strong understanding of Managed Print Services and Production Print required.
      • Two years of experience in a supervisory position required.
      • Strong analytical skills to assess operations and process problems and develop appropriate solutions/improvements required.
      • Business experience that includes vendor and/or partnership management required.
      • People management skills, to include coaching, mentoring and ability to collaborate with all levels of management required.
      • Strong computer, Microsoft Office applications and spreadsheet skills required.
      • Proficiency reading, recording, and checking data required.
      • More than 5 years of experience, with at least three years in a supervisory capacity with considerable knowledge of Managed Print Services and Production Print environment preferred.


    Working Conditions:
    Telephone, computer with multiple software packages, printers, multifunctional equipment, engravers, cutters, wide format printers, miscellaneous finishing equipment, and small tools are used. Requires a background check and drug screen. Pleasant office environment. Schedule is 40 hours per week. Hours are Monday through Friday 8:00 a.m. to 4:30 p.m. Adjustments to work hours may be occasionally required to meet department needs. This position is not remote eligible.

    Hiring Range:
    10 Salary/Starting salary beginning at $60,064/annually, based on experience and education.

    Competitive starting pay is dependent on education and experience.
