Job Description

The Accounts Payable & Finance Coordinator is responsible for all Accounts Payable functions in the business office of Shore Collaborative in addition to serving as back up to all other functions including Medicaid Billing Accounts Receivable and Payroll. This position is an integral part of the team and dependable attendance time management and the desire to support the finance department in a positive manner is critical.Reports To: Director of FinanceSchedule: Monday - Friday 40 hours/week in person.Salary Range: $65000-$75000Essential Duties and Responsibilities:Prepare review and process invoices for payment and generate warrants for accounts payable and electronic disbursements.Prepare payroll warrants in accordance with established payroll schedules.Maintain vendor records including W-9 collection and ongoing updates.Oversee the maintenance and periodic audit of all purchase orders to verify accuracy confirm approval status and identify items that require payment or closure to ensure timely financial processing.Prepare and process annual 1099 filings.Initiate and manage bank transfers and EFT/ACH payments.Reconcile and resolve issues with electronic payments including those made with credit accounts and credit cards.Reconcile assets and liabilities.Monitor and manage unclaimed property including reconciling outstanding checks validating payee information and coordinating timely reporting and remittance in accordance with state unclaimed property laws.Audit Payroll and Accounts Receivables quarterly.Assist in the preparation of annual audits related reports and in the budget process as needed.Monitor compliance with internal policies and procedures pertaining to accounts payable and purchasing including compliance with internal controls of purchasing accounts and petty cash.Prepare reports accounting entries and journal entries including payroll accruals end of year adjusting entries and other entries as needed.Review accounts to ensure expenses are accurately coded and charged to the appropriate programs and accounts.Assist other business office personnel in periods of high demand and/or as necessary.Preparation of the required monthly reports to the Massachusetts Teachers Retirement SystemAny other duties as requested by the Director of Finance or the Executive Director.Minimum Qualifications:Formal education (college level coursework) in Accounting Finance or related field required; Bachelors Degree preferred.At least three years of accounting accounts payable payroll or financial management experience required.Strong knowledge of municipal/governmental/fund accounting and experience preferred.Ability to read and interpret financial statements.Strong computer skills including exceptional skills with Excel.Comfort and familiarity with financial management systems. Experience with Infinite Visions or Munis is a plus.Strong attention to detail.Flexibility and desire to take on additional responsibilities as opportunities and needs arise.Ability to work independently but also willing and able to work effectively as part of a team.Ability to think critically and strategically on highly complex issues problems and challenges in finance human resources and operations.Commitment to the mission and goals of Shore Educational Collaborative.Physical Demands: Minimal to light physical effort is generally required.Required Experience:IC Key Skills Business Continuity Planning,Food Technology,ABAP,Import,Electrical & Automation,Adobe Employment Type : Full-Time Department / Functional Area: Administration Experience: years Vacancy: 1 Monthly Salary Salary: 65000 - 75000
