POSITION
Administrative Aide III

Position Type:

Schedule: M-F, 7:00 am - 3:45 pm Hybrid (Wed & Th - Onsite, Mon, Tue, Friday - WFH)
Assignment Length: Approximately 12-Months, possibly Longer.

DESCRIPTION
The Administrative Assistant provides advanced administrative and clerical support within the Accounting and Provider Services department. This position performs a variety of both routine and complex administrative duties under minimal supervision, requiring strong attention to detail, sound judgment, and the ability to manage multiple priorities simultaneously.

This role supports internal operations by coordinating documentation, managing department workflows, and assisting with drawing and data management within SharePoint and the Corporate Drawing Management (CDM) systems.

Key Responsibilities
  • Download and organize drawing package content from SharePoint.
  • Generate and assign drawing package numbers.
  • Perform quality control (QC) checks on PDFs and CAD files against database records in the CDM Dashboard.
  • Enter drawing data (e.g., revisions, titles, metadata) into the CDM Dashboard.
  • Upload and QC final PDFs in the CDM Library.
  • Create print scheduling documentation, including order forms and delivery labels, and convert them to PDF.
  • Review and ensure accuracy of drawing package folders prior to submission.
  • Upload issued drawing packages to external SharePoint sites, copy links, and complete QC checks.
  • Submit finalized drawing packages to the reprographics vendor for print production.
  • Schedule meetings, order office supplies, and coordinate equipment setup for new hires as needed.
  • Maintain confidentiality while handling sensitive information.
  • Support special projects and provide direction to lower-level administrative staff as required.
REQUIREMENTS
  • High School Diploma or equivalent required; relevant college coursework preferred.
  • 2-4 years of administrative or clerical experience, ideally in a professional or corporate environment.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Typing speed of at least 50 WPM.
  • Strong interpersonal and customer service skills.
  • Ability to perform data entry and navigate digital document repositories such as SharePoint.
  • Excellent organizational skills and attention to detail.
  • Must pass a background check.
  • Badge access required.
Desired Qualifications
  • Experience working in a technical, engineering, or documentation management environment.
  • Familiarity with CAD or PDF file management and QC processes.
  • Experience supporting multi-department administrative operations or projects.
