Ziegler CAT has an opening for an Administrative Assistant - Branch Operations that provides high-level administrative support by handling information requests and performing clerical functions such as taking phone calls preparing correspondence receiving visitors arranging conference calls and scheduling meetings. This is a customer-facing position with backup receptionist responsibilities.Responsibilities:Answers phone calls and direct calls to appropriate parties or take messagesPerforms general office duties such as ordering supplies maintaining records management database systems and performing basic bookkeeping workReads and analyzes incoming memos submissions and reports to determine their significance and plan their distributionMakes travel arrangements for managementCoordinates events with other departmentsOrganizes meetings conferences and seminars; including catering audio/visual setup and attendance registrationPrepares and mails informational packets to returning and new customersWorks in a cooperative manner with team and superiorsServes as backup receptionist with customer and visitor interactionQualifications:High School Diploma or GED required; 2 or 4 year College Degree preferred1-3 years related experience preferredPersonal Attributes: Commitment / Dependability Learning Orientation Problem Solving Efficiency Attention to DetailProficient in Microsoft Office SuiteTravel:Little to noneMinimum Physical Requirements:Using hands talking hearingWorking Conditions are indoorThis job description is intended to describe the general nature and level of work being performed; it is not intended to be construed as an exhaustive list of all responsibilities duties and skills required for the position. Pay range may vary by 10% depending upon the applicants location.
