This is the perfect role for someone who enjoys meaningful work, variety in their day, and opportunities to take initiative.What You’ll DoServe as the professional face of the program supporting employees, partners, stakeholders, and leadership with a positive attitudeDraft, respond to, and manage correspondence on behalf of the Program DirectorOrganize division contracts, financial documents, communications, and staff structureSchedule meetings, prepare materials, distribute minutes, and compile reportsGather information from team members and field questions from customers and stakeholdersConduct research, investigate concerns, and provide timely follow-upMaintain confidential documents and controlled filesCreate, update, and develop program and financial reportsKeep program plans up-to-date to provide leadership with a clear and accurate project outlookScreen calls and assist with inquiries using knowledge of division programs and policiesProcess workers’ compensation incident reports and coordinate claims with HRTrain or provide guidance to support staff when neededAssist with additional projects, overtime, and coverage as assignedWhat You Should KnowKnowledge of:Proper grammar, spelling, punctuation, and professional communicationOffice procedures, filing systems, and business correspondenceResearch, data collection, and analysis techniquesAbility to:Represent and support the Program Director with professionalism and confidentialityCommunicate clearly on behalf of leadershipOperate standard office equipment and software (MS Word, Excel, Access, PowerPoint, Outlook, Adobe)Safely operate an agency or personal vehicle for official businessMinimum QualificationsAssociate degree OR at least 1 year of administrative experience, including:Collecting & analyzing informationSupporting managementComposing and routing correspondenceMaintaining files and recordsPreparing agendas and reportsIf you’re looking for a role where your organizational talent, communication skills, and initiative truly shine, this is the opportunity for you!
